Job Summary
- Performs a variety of clerical work necessary for the operation of Social Services department with data entry and typing as most of the responsibilities;
- processes a variety of routine paperwork necessary for office operations; answers the telephone and provides general information regarding utility assistance and directs calls to appropriate destinations;
faxes utility paperwork to appropriate companies for client utility assistance; assist clients at intake.

Administrative (60%)
Composes, prepares and / or types a wide variety of paperwork, including that of a confidential, complex and / or technical nature with limited supervision and direction.
Performs a variety of administrative work associated with special projects; inputs and processes data pertaining to, but not limited to, Regional Food Bank of Oklahoma, energy assistance program, seasonal fan drive, back to school program, warmth for winter, etc.
ensures the accuracy, completeness, timeliness, and integrity of all information reported.
Enters data for new and existing clients into approved computer-based reporting program in an accurate and timely manner.
Determines eligibility for utility, rent, clothing, food, and ID assistance.
Unpacks and stores groceries and donations.
Packs food boxes for food pantry distribution.
Clerical (40%)
Answers telephone in a courteous and tactful manner; responds to caller’s questions and provides accurate information regarding services provided, utility assistance and general information.
Monitors front desk and assists clients in lobby and at the intake window.
Assists with the Christmas Angel Tree Program.
Assists with community services and makes referrals as needed.
Performs related work for special and seasonal projects and services.
Performs other related work as required.

Knowledge, Skills and Abilities
Knowledge of The Salvation Army Social Services Standard Operating Guidelines Resource manual.
Knowledge of general office practices and procedures.
Knowledge of effective and efficient recording keeping practices and procedures.
Knowledge of basic mathematics.
Knowledge of current computer software programs.
Ability to learn the broad scope of department operations and services in order to serve as an information resource and to provide assistance in a timely and effective manner.
Ability to work on multiple projects effectively and efficiently at the same time without becoming frustrated or disorganized.
Ability to gather, compile and assemble information into a final product for letters, records, reports, etc..
Ability to plan, organize and prioritize work in order to accomplish work in compliance with quality standards and deadlines.
Ability to determine the most effective and efficient method to accomplish work objectives and goals and to work under limited supervision.
Ability to prepare spreadsheets and to maintain computer databases.
Ability to maintain an efficient and organized filing system to ensure that items can be retrieved in a timely manner.
Ability to maintain the confidential nature of the department.
Ability to read, write and communicate the English language.
Ability to complete data entry tasks.
Ability to sort and file documents alphabetically and numerically.
MINIMUM QUALIFICATIONS REQUIRED
Education and Experience
High School diploma or required supplemented by additional secretarial courses preferred. Two years of progressively responsible experience performing secretarial work in a general office or any equivalent combination of training and experience, which provides the required knowledge, skills and abilities.
Experience using Microsoft Office with a heavy emphasis on Excel skills.

Valid State Drivers License
Physical Requirements
Assists in food pantry tasks as needed.
Some physical effort required associated with walking, standing, lifting, and carrying objects (up to 40 pounds) occasionally.
Ability to meet attendance requirements.
Working Conditions
Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
