Description

Role Mission : The Transportation BusinessClerk is part of the Transportation Team and is responsible forsupporting the administrative wellbeing of thetransportation financial operations nationally.

The Business Clerk will be the financial steward for the Headquarters Transportation Dept., which would include managing aspectsof purchases, administrative duties for Headquarters Transportation Dept.

payments for goods and services, and handling logistical monthly meetings. The Transportation Business Intern will develop plans and reports to provide recommendations on all administrative related issues, provide trainings and develop process improvement initiatives.

They will understand and internalize the organizational objectives that allows them to generate project information, action items to address long term strategic initiatives.

Compensation for this role is set at an hourly rate ranging between $16.96 for 0 years of experience and $21.20.

Accountabilities

100% of programmed schools in operation with buses, drivers, and routes in place before All Staff SLI

  • Assist in procurementto obtain bids for repairs, services, or merchandise.
  • Inspect merchandise for quality and compliance with specifications
  • Reviews and maintains accounting records of purchases
  • Ensure optimal inventory levels for transportation supplies
  • Assists in tracking of supplies and maintain inventory control procedures.
  • Maintain fixed asset information in compliance with regulations.

100% of campuses meet or exceed Cost Per Rider and / or Cost Per Mile goal

  • Assists Transportation Finance & Procurement Manager with the development of financial trainingson operational efficiencies and best practices for campus Transportation Managers throughout the academic year
  • Monitor the monthly Transportation Performance Tracker and identify opportunities to decrease expenses and increase reclassified revenue in collaboration with Transportation Managers, District Mechanics, and the APO.
  • Assist Transportation Managers with tracker questions and budget course corrections.
  • Prepares, prints, distributes, and tracks purchase orders for Transportation Dept. including some campuses

95% of requisitions are processed within 2 business days of service request

  • Approve workflow requisitions within Tyler Munis within 24 hours of submission
  • Ensure timely vendor payments by receiving 100% of all goods or services in Tyler Munis within one business day of delivery and include all appropriate documentation such as packing slips.
  • Coordinate with Campus Transportation Managers to improve requisition entries
  • Cascade changes pertaining to the Business Office while ensuring the compliance of the Transportation Department
  • Assist in the development strategy for adhering to compliance guidelines as we expand to out-of-statemarkets.

Provide operational support to Transportationstaff

  • Reconcile 100% of vendor statements, research and correct discrepancies by the 28th of each month
  • 100% of invoices are sent to the appropriate dept by the 6th business day every month to prepare for month end close-out.
  • 100% readinessin the monthly logistical checklist prior to monthly meetings including assisting in the development of financial trainings.
  • Coordinate travel logistics for Transportation National Staff and high priority projects.
  • Assist in the onboarding of Transportation staff
  • Submit 100% Zendesk tickets to support the department

100% of American Express activity flows into Concur system

  • Review American Express activity logs daily to ensure all transactions are being pushed through to Concur
  • Reconcile negative discretionary budget accounts by the 8th business day every month.
  • Reconcile all transactions before the 28th of each month
  • Ensure that transactions are being allocated into correct accounts.
  • Communicate with concur support or purchasing to ensure accuracy of reports submitted

Qualifications :

  • Education : Bachelor’s degree preferred
  • Experience : Previous Administrative Work, Transportation or Schools related budget experience preferred

Knowledge and Skills :

  • Manages various projects that include the areas of budgeting, purchasing, travel, projections, and transportation.
  • Understand business objectives to generate project information, action items, schedules and deliverables to the team
  • Excellent written and oral communication skills complemented with highly effective presentation, interpersonal and consulting skills in working across all aspects of the business levels of the organization.

  • Performance Monitoring : Keep track of a portfolio of 40 campuses’ progress towards monthly goals, offering support and assistance when needed to ensure they achieve their targets.
