The Executive Assistant will provide high-level administrative support to the President of the Los Angeles Orange County (LAOC) region at Hub International.

This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

The Executive Assistant will serve as a key liaison between the President and internal / external stakeholders, facilitating effective communication and ensuring the smooth operation of daily activities.

THE OPPORTUNITY :

  • Manage the President's calendar, including scheduling meetings, appointments, and travel arrangements while ensuring optimal time allocation.
  • Prepare correspondence, reports, and presentations, ensuring information is accurate and presented professionally.
  • Serve as a primary point of contact for internal and external stakeholders, handling inquiries and ensuring timely responses.
  • Coordinate and organize SLT, ECM and EMT meetings, including preparation of agendas, minutes, and other relevant materials.
  • Manage confidential information with a high degree of professionalism and discretion.
  • Maintain and organize digital and physical files, ensuring easy access to important documents and records.
  • Assist with project management, tracking deadlines, and ensuring deliverables meet timeline requirements.
  • Help maintain a positive office environment by fostering strong communication and collaboration within the team.
  • Perform additional administrative tasks as needed to support the President and other executives.

WHAT YOU BRING TO THE TABLE :

  • 5+ years of experience as an executive assistant or in a similar role within a corporate environment, preferably in the financial services or insurance industry.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software or tools.
  • Exceptional communication skills, both written and verbal.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Demonstrated ability to work independently and as part of a team in a fast-paced environment.
  • Professional demeanor and excellent interpersonal skills.
  • High level of integrity and ability to handle sensitive information confidentially.
  • This role is in office, reporting to our Encino office Monday through Thursday. Friday's can be work from home days.
  • The expected salary range for this position is $70,000 - $90,000 and will be impacted by factors such as the successful candidate's skills, experience and working location, as well as the specific position's business line, scope and level.
