Seeking a dedicated and organized Personal Assistant. As a vital member of our team, you'll play a crucial role in ensuring the smooth operation of our business.
Your responsibilities will include :
- Scheduling : Coordinating appointments and meetings for our agents and clients, ensuring efficiency and productivity.
- Marketing : Creating and distributing professional marketing including social media, marketing materials, including brochures, flyers, and online listings, to attract potential buyers and sellers.
- Client Relations : Building and maintaining strong relationships with our clients, providing exceptional customer service, and following up on transactions to ensure a seamless experience.
- Administrative Support : Verifying property taxes, contacting building departments, and managing our database to keep accurate records and streamline processes.
- General Operations : Handling various administrative tasks, such as answering phones, filing documents, and assisting with office management.

Responsibilities :
- Ensure filing systems are kept orderly and up to date
- Make travel arrangements including flight, hotel, and transportation
- Prepare meeting spaces for guests to create a welcoming environment
- Prepare meetings, write down notes, and email meeting minutes to make meetings run smoothly
- Deliver packages and pick up orders as needed
- Input new listings, and obtain building reports.
- Organize mailings and brochures.
- Manage income mail.
- Maintain excellent communication with clients through follow-up.
- Create client mailings.
- Organze client events.
Qualifications :
- Capable of completing tasks with minimal supervision
- Excellent interpersonal skills and time management skills
- Previous work experience as a personal assistant, administrative assistant, executive assistant, or related job experience, such as business administration
- Understands how to use Microsoft Office
- Valid real estate license or experience in the industry in New York State.
- Valid driver's license and car.
- Strong organizational and communication skills.
