The IT Procurement Coordinator will be responsible for overseeing the procurement process for the IT department, ensuring efficient processing of monthly invoices, managing monthly and annual subscription contracts, and procuring necessary IT equipment.
The role includes providing overall administrative support to the IT department to ensure smooth operations and compliance with organizational policies.
Essential Functions
Invoice Processing
- Review, verify, and process monthly IT invoices.
- Coordinate with finance to ensure timely payments.
- Maintain accurate records of all invoices and payments.
Contract Management
- Manage monthly and annual subscription contracts for IT services and software.
- Manage monthly telecom evaluation and verification.
- Ensure timely renewals and negotiate terms with vendors.
- Maintain a database of all contracts and track their statuses.
Procurement of IT Equipment
- Identify and evaluate suppliers for IT equipment and services.
- Negotiate pricing and terms with vendors to achieve cost-effective procurement.
- Place orders and track delivery to ensure timely receipt of equipment.
Administrative Support
- Assist in budget preparation and monitoring for the IT department.
- Maintain inventory records of IT equipment and software licenses.
- Support IT staff with administrative tasks as needed.
Compliance and Documentation
- Ensure all procurement activities comply with organizational policies and procedures.
- Maintain detailed documentation of procurement processes and decisions.
- Prepare regular reports on procurement activities and expenditures.
Position Requirements
- Bachelor’s degree in Business Administration, Information Technology, or a related field.
- Proven experience in procurement, preferably within an IT environment.
- Strong understanding of IT equipment and software procurement processes.
- Excellent negotiation, communication, and interpersonal skills.
- Proficient in Microsoft Office suite and procurement software.
- Strong organizational and time management skills.
- Ability to work independently and as part of a team.
Preferred Qualifications
- Certification in procurement or supply chain management (e.g., CPSM, CSCP).
- Experience with contract management and vendor relationship management.
- Familiarity with IT asset management software.
