Job Summary : We are seeking a highly skilled and detail-oriented Executive Assistant
with a strong entertainment background to support the Chief Operating Officer of our
dynamic Entertainment Company based in Hollywood. The ideal candidate should
possess excellent communication, organizational, and problem-solving skills, along with
a proactive and agile mindset. This role involves coordinating complex schedules,
managing travel arrangements, handling confidential information, and serving as a
crucial link between executive offices.
Ideal Candidate : We are looking for a high-trust individual who is a self-starter, agile,
and possesses excellent follow-through. The ideal candidate should have a minimum of
6 years of proven experience supporting executives in both start-up and
media / entertainment companies. A positive attitude, outgoing personality, and a passion
for music, media, and entertainment are essential. Please note that this role is not
suitable for individuals pursuing a music career as an entertainer; it is designed for a
Senior Executive Assistant seeking a long-term EA role.
Role Summary : As the Executive Assistant to the COO, you will play a pivotal role in
ensuring the smooth day-to-day operations of the company. Your responsibilities will
include conducting and synthesizing email communications, creating presentations and
executive summaries, organizing briefings, managing calendars, coordinating logistics,
and providing support on special projects. Additionally, you will be responsible for
maintaining a clean office environment, handling corporate gifts and cards, and
proactively solving operational issues.
Role Reports To : Chief Operating Officer, with some indirect support of CEO
Responsibilities :
- Conduct and synthesize email communications and research for the COO and the organizational team.
- Create presentations, detailed research briefs, and executive summaries for industry-related research requests.
- Organize briefings and materials for meetings and provide note-taking and action item follow-up.
- Attend team meetings, take thorough notes, and report back to the COO.
- Manage multiple personal and professional calendars for meetings, appearances, and obligations.
- Coordinate logistics across multiple departments and businesses within the company.
- Anticipate upcoming needs and support with special projects directed by the COO.
- Support the project management of high-priority initiatives and maintain progress status for key projects.
- Manage corporate gifts, holiday cards, thank-yous, etc., to business partners,vendors, clients, and important figures.
- Assist in setting up and prepping spaces in advance of meetings and appearances.
- Maintain a clean office and ensure it is stocked with beverages and supplies.
- Proactively problem-solve urgent issues to ensure smooth operations for the office.
Job Requirements :
- Bachelor degree & least 6 years of experience in a similar C-Level EA role
- Computer literate with strong knowledge of MAC, MS Office (Word, Excel,
PowerPoint, Outlook)
- Proficient in internet usage for research purposes
- Excellent written and verbal communication skills
- Ability to work independently or in a team and take initiative.
- Strong organizational skills and the ability to prioritize effectively.
- Ability to maintain a professional demeanor with individuals at all levels within
and outside the company.
