Max allowed submissions : 2 (One as Primary and other as Alternative) CPS seeks to contract an experienced Project Coordinator.
This is a full-time, remote position (9 am to 5 pm, M-F, CST). The rate is classified as Category A : Project Manager - Project Coordinator not to exceed $75 p / h.
All rates will be negotiated.
Vendors in good standing (fully executed contract and an active CPS vendor number) may submit two (2) resumes for consideration.
The first is the Primary and the other is the Alternate. This engagement has the potential to be extended, based on priorities and resources within the District.
Typical Duties & Responsibilities : Project Coordination : The resource will be serving as Project Coordinator for project 1774 - OIG Response : Asset Mgmt, which will streamline and improve the quality of technology asset management for the district Project Management Support : Manage project intake process : receive project requests, verify alignment with ITS goals, facilitate request authorization, and move projects through predefined stages (Requested, Authorized, Pipeline, Roadmap, Approved, Assessing Benefits, Finished).
Coordinate project planning meetings, take detailed notes, and document action items. Facilitate communication between project stakeholders, including PMO, ITS staff, and project managers.
Assist in setting up project folders in Google Drive and Smartsheet. Monitor project progress, identify potential roadblocks, and proactively follow up on missing status updates.
Coordinate project review meetings and maintain documentation. Prepare project wrap-up reports and support final project approval processes.
Reporting & Data Management : Analyze, compile, and distribute project reports through on a weekly basis. Monitor PMO dashboards, review metrics, and create visual representations of project performance.
Generate regular reports and presentations for biweekly meetings with Project Managers Maintain and update individual project status reports assigned to ITS Liaisons.
Process & Resource Management : Manage user access and permissions for various systems and reports using templates. Ensure efficient project start-up and wrap-up processes are followed consistently.
Standardize and maintain PMO templates for various project functions. Organize and manage PMO folders in Google Drive. Update and maintain the PMO website, including content related to projects, portfolio, and resources.
Type of Education Required Bachelor's degree in Project Management, Information Technology, or a related field (preferred).
Type and Years of Experience 3-5 years of experience in project coordination or a related role. Strong understanding of project management methodologies (.
Waterfall, Agile). Knowledge, Skills, and Abilities : Excellent organizational and time management skills. Meticulous attention to detail and ability to maintain accurate records.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Google products, and project management tools (., Smartsheet).
Strong communication and interpersonal skills with the ability to effectively collaborate with diverse stakeholders. Ability to take clear and concise notes during meetings.
