Overview

We are seeking a self-starter, people-minded HR Senior Coordinator to work directly with and support our Human Resources team to assist in the day-to-day operations to further them towards the goal of making WS Development a great place to work.

This position will have a primary focus on new hire onboarding and orientation, managing compliance with employment laws, and administrative support for the HR department.

This role requires meticulous attention to detail, and proficiency in HR systems such as ADP and Excel. The right candidate will have strong communication skills while also possessing great organizational capabilities to help meet deadlines and ensure internal operations are running smoothly.

What to expect

This role will be an integral part of the Human Resources team that will support a fast-paced, dynamic team. This role will deliver human resources support and help the team identify areas of improvement.

Responsibilities :

  • Coordinate all aspects of the onboarding process for new employees, including preparation of onboarding materials, conducting orientation sessions, and ensuring a smooth transition into the company.
  • Assist in administrative aspects of the employee offboarding process, such as filing paperwork in our digital document management system and sending resignation acceptances to departing employees.
  • Verify and process I-9 forms and other relevant employment documentation in compliance with federal and state regulations.
  • Input and maintain accurate employee information in the ADP HRIS system and other document management systems.
  • Brainstorm and execute new employee engagement initiatives.
  • In partnership with WS Marketing, maintain company intranet and biweekly newsletter.
  • Ensure office environment operates smoothly.
  • Ensure compliance with company policies, processes, and trainings. Create, prepare and analyze HR reports, including headcount, turnover, PTO , and other miscellaneous reports using Excel and other software tools.
  • Stay updated on federal, state, and local employment laws and regulations to ensure company compliance.
  • Assist in audits and reviews of HR compliance practices to ensure legal adherence.
  • Supporting with ad hoc projects when needed
  • Support with invoicing and working with AP / AR to ensure our vendors and external partners are paid timely.
  • Management and general upkeep of our digital personnel file database.
  • Preparation of gifts for new hires, anniversaries, and new family members.
  • Management of the ordering, posting, and communication of our Labor Law postings in every office.
  • Performing background and credit checks for new and existing employees.
  • Maintenance of our performance management system. Coordination of different meetings, HR projects, and company wide projects.
  • Receives and distributes department mail.

Requirements

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Minimum of 2-3 years of experience in a human resources focused or administrative and office management role.
  • Proficient in HRIS systems, particularly ADP, and strong skills in Excel (pivot tables, v-lookups, etc.) and other MS Office applications.
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.
  • Excellent communication and interpersonal skills with the ability to build positive relationships across departments.
  • Ability to multitask and prioritize.
  • Ability to handle multiple projects, both long and short term, simultaneously and be adaptable to change.
  • Independent, self-starter mindset, can hit the ground running.
  • Exceptional customer service skills.
  • Excellent verbal and written communication skills are essential.
  • Ability to maintain confidential information.
