Assistant Commercial Property Manager Long Is. City, NY 65K to 80K*A growing Property Management Company seeks an Assistant Commercial Property Manager to oversee the daily operations of a portfolio of commercial properties.
The Assistant Commercial Property Manager has the primary responsibility for performing both tactical and administrative support to the Commercial Property Manager by
- Offering superior customer service and relationship management by being proactive and responsive to tenant needs,
- Supervising maintenance staff and / or maintenance related projects
- Ensuring the maintenance and general upkeep of the commercial properties
- Managing all communication and relationships with potential and current tenants, and
- Ensuring the property is compliant with local, state, and federal regulationsThe Assistant Commercial Property Manager is the primary contact for tenant and vendor relationships.
- Essential Duties and Responsibilities : *
- Oversee the daily operation of all properties, working alongside the leasing team in the preparation of available spaces for lease.
- Conduct regularly scheduled and un-scheduled on-site inspections of common areas, tenant spaces, vacant spaces, mechanical rooms, roofs, exterior perimeter, and other areas.
- Solicits, evaluates, and negotiates contracts with vendors for maintenance inspection and repair of all building systems.
- Tracks and ensures that all vendors adhere to preventative maintenance schedules and have provided the necessary certificates of insurances per their contracts.
- Facilitates daily communication with property manager and building staff.
- Schedules and track all periodic testing of building systems such as elevators, fire life safety, water treatment, etc.
- Works with the compliance department in removing building violations.
- Assists project management with tenant build outs; ensures the plan specifications are met.
- Maintains open lines of communications with tenants (in person, via phone and e-mail) regarding repair requests and other pertinent issues;
responds to requests within 24 hours.
- Maintain accurate property records such as contacts, invoices, leases, floorplans, photos and other important documents.
- Must be able to represent the commercial property managers when s / he is unavailable.*Required Education, Experience, and Skills : *
- Must have in-depth knowledge of HVAC and building management systems.
- Bachelor’s Degree, or comparable experience, a minimum of 3 years in commercial real estate property management, construction, or related field, is required.
- Ability to communicate effectively and clearly, both verbally and writing.
- Possess excellent organizational and time management skills with an ability to work in a fast-paced environment.
- Proficient with Microsoft Office Suite or related software.
- Must be able to travel on an as needed basis, multiple times per week, to all properties.
- Must be able to respond to emergencies 24 / 7.
- Must possess a valid Driver’s License and a reliable car.Physical Requirements :
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to climb multiple stairs cases at one time and bend at the knees.
- Must be able to lift up to 15 pounds at times.
