We are offering an exciting role in Thousand Oaks, California, for an Accounting Assistant with a focus on construction project management.
In this dynamic role, you will be involved with various administrative and accounting duties related to our construction department.
This role requires the ability to manage multiple projects concurrently in a fast-paced environment.
Responsibilities :
- Provide general coordination and administrative support for numerous concurrent construction projects including office tenant improvements, ground up developments, and building renovations.
- Assist project managers and job site superintendents in the daily management of construction projects.
- Compile and sort project folders, ensuring all documents are correctly filed and easily accessible.
- Maintain tracking logs related to insurance and contract compliance, ensuring all details are up-to-date and accurate.
- Handle the logging and entering of invoices, contributing to efficient and accurate financial management.
- Coordinate delivery of materials or resources as required for construction projects.
- Prepare close-out documentation for completed projects, ensuring all necessary details and reports are included.
- Draft and prepare written materials including correspondence, reports, and proposals related to construction projects.
- Utilize software tools such as Microsoft Excel, QuickBooks, and Procore for effective project management and accounting functions.
- Leverage your general knowledge of the construction process to support project management and other related tasks.
- Proficiency in Microsoft Excel, including advanced functions and formulas
- Solid understanding and application of basic accounting functions
- Experience in managing Accounts Payable (AP) and Accounts Receivable (AR)
- Familiarity with billing functions, including invoice creation, payment tracking, and reconciliation
- Proficiency in using QuickBooks for accounting tasks such as financial reporting, payroll processing, and bank reconciliation
- Experience with Procore construction management software for job costing, project management, and budget tracking
- Strong attention to detail and accuracy in financial data entry and reporting
- Ability to work independently and as part of a team, demonstrating effective collaboration skills
- Excellent communication skills, both written and verbal, for clear articulation of accounting information
- Ability to maintain confidentiality regarding company financial information
- Bachelor's degree in Accounting, Finance, or a related field, or equivalent work experience in an accounting role.
