POSITION : Executive / Personal Assistant
LOCATION : West Palm Beach, FL (in office 5 days per week)
HOURS : 9 : 00AM - 6 : 00PM with flexibility and availability outside of work hours
COMPENSATION : $160-200K DOE
BACHELOR’S DEGREE : Required
Our client is looking to hire an experienced and dedicated Executive / Personal Assistant to manage the personal and business affairs of a high-profile individual and family.
This person will support daily operations, manage schedules, coordinate meetings, and ad-hoc projects. This role is in person Monday-Friday with flexibility outside of work hours as well.
Responsibilities of the Executive / Personal Assistant :
- Serve as the primary point of contact between the individual and internal / external stakeholders.
- Provide high-level administrative support, including managing calendars, scheduling appointments, and organizing meetings.
- Coordinate and prepare materials for meetings, presentations, and reports.
- Handle confidential and sensitive information.
- Screen and manage phone calls, emails, and other correspondence.
- Draft, proofread, and edit documents, emails, and communications.
- Manage office supplies, equipment, and facilities.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Assist in planning and coordinating events, private dinners, receptions and business functions.
- Help manage logistics, invitations, and on-site support for events.
- Build and maintain strong relationships with key stakeholders, including clients, partners, and vendors.
- Handle inquiries and requests from family members and other VIPs with professionalism and efficiency.
- Conduct research on specific topics or gathering information.
- Research local services or businesses (e.g., finding a new dentist or gym).
- Coordinate with pharmacies for refills and new prescriptions.
Requirements of the Executive / Personal Assistant :
- Bachelor’s degree or equivalent experience.
- Minimum of 7-10 years of experience as an Executive Assistant, preferably in a family office or similar high-demand environment.
- Must have a high level of professionalism and integrity.
- Ability to work independently and take initiative.
- Strong problem-solving skills and attention to detail.
- Flexibility to work outside standard business hours as required.
- Verification of identity, education, prior employment, and references may be required.
