Summary :

Support the project management and risk management team in ensuring timely and profitable project completion. Perform project administration that actively reduces risk and protects the Company.

Perform administrative functions that address project schedules, bid process, subcontracts, change orders, submittals, and closeouts.

Maintain well organized job records and files for multiple projects across the region and / or Company. Interface with subcontractors, owners, vendors, and Company personnel to increase communication and coordinate efficient completion of a project.

Essential Duties and Responsibilities :

  • Create and distribute project management documentation via the use of project management software
  • Generate and issue subcontracts in the enterprise resource planning (ERP) system for all trades associated with a project
  • Prepare project specific Exhibits for distribution with subcontracts by collaborating with team members to ensure compliance with Owner requirements and Company standards
  • Ensure timely execution of subcontract and related compliance documents such as insurance, OSHA Logs, and other required safety forms
  • Effectively communicate and collaborate with other departments, such as preconstruction and accounting, to ensure accuracy of compliance tracking and reporting
  • Commitment to following Company standards during subcontracting and procurement to ensure effective risk management
  • Create a complete Contract Book, and other on-site project documents, as needed for the Project Manager and Superintendent
  • Coordinate and communicate with owners, vendors, crews, subcontractors, architects, and suppliers to facilitate timely and profitable project completion
  • Administrative functions such as : typing of minutes, memos and letters as requested or needed
  • Assist with obtaining project close out documentation upon completion of project and compiling according to Owner requirements
  • Exercise initiative and perform additional project duties as needed to meet the needs of the organization
  • Office administration duties such as, but not limited to, reserving meeting rooms, supporting large group meetings, and managing office supplies
  • Perform additional assignments per Project Managers’ and Director of Risk and Compliance’s direction.

Requirements / Experience :

  • A minimum of a Bachelor’s degree from a four-year college / university or equivalent combination of education and experience
  • Minimum one to three years related experience required
  • Excellent administrative, organizational, verbal, and written communication skills are essential
  • Innate ability to multi-task and effectively prioritize tasks
  • Strong desire and capability for growth potential into managerial roles and responsibilities
  • Computer skills in Microsoft Windows environment to include Excel and Word
  • Experience working within the building trades (design or construction) preferred
  • Experience working with legal and insurance construction documentation helpful
  • Must present professional appearance and conduct
  • Exceptional customer service and interpersonal skills a must

Physical Demands :

  • Regularly required to sit; occasionally required to stand, walk, stoop, or kneel
  • Must occasionally lift and / or move up to 25 pounds
  • Ability to repetitiously use hands, fingers to handle or feel and to manipulate keys on a keyboard
  • Vision abilities for this position include close vision
