The Hilb Group is currently seeking a motivated and ambitious Executive Assistant to join our team. This position will report to our agency located in Merrimack, NH.
The ideal candidate will be motivated to succeed, is well organized, able to prioritize, and able to work well with a team.
This is an in-office position.
Responsibilities :
Assist with INCAP (EB Medical Captive Product) Education and Training working w / Managing Partner and the Marketing Team to create content, presentations, videos, classes, training sessions, etc.
to educate and train Hilb and non-Hilb Producers and tailor our template materials to address a specific group (either producer or client facing) as needed.
- Responsible for maintaining and renewing license for GoToWebinar (GTW). Maintain training materials and lead online training for CLBS Staff Members as needed and be the contact for any technical issues that arise with GTW.
- Build and run (technological end) of GoToWebinar training sessions for clients, prospective clients, brokers, and others as needed throughout the year.
- Maintenance of CLBS files and internal records such as (but not limited to) : Marketing Agreements, Secondary Broker Agreements, Partner Agreements, etc.
including communication to all appropriate parties and collection of all appropriate signatures.
- Compile, type, and distribute correspondence as needed (email and business letters).
- Take meeting minutes and manage follow-up items.
- Maintain the company calendar for the Managing Partner / National Practice Leader
- Assist prospecting efforts by conducting research using various networks and resources.
- Track File Closures
- Help manage arrangements for on / off-site meetings and company functions.
- Review and Compile Weekly Prospecting Reports Reviewing reports from CLBS Brokers and compiling Managing Partner report before forwarding to Managing Partner for further review before dissemination.
- Provide support to office through maintaining office supplies, maintenance of main copier / printer, maintaining postage availability through Stamps.
com, shipping packages through UPS or Stamps.com as appropriate.
- Pull Weekly RFP Report and then organize, sort, and convert files, plus create an overview before sending to Managing Partner and INCAP Fiscal Director for review before dissemination.
- Participate in projects and any other tasks as assigned by management.
Qualifications :
- 7-10 years of experience as an Executive Assistant or senior-level Administrative Assistant
- Outstanding organizational skills
- Proficient in MS Office (Outlook, Teams, Powerpoint Word, and Excel), Adobe Acrobat (creating and editing PDFs), GoToWebinar, LinkedIn and Facebook;
- familiarity with WorkVivo (internal interface with entire corporation), Monday.com (project management software), Salesforce, BenefitPoint or similar database, WordPress or similar website software;
comfortable with LAN networks & IT devices / products and using OneDrive or similar shared server systems.
- Have a problem-solving mindset.
- Strong communication skills (phone, written, email and in-person)
- Strong proofreading and editing skills
- Strong analytical, problem solving, time management, communication and decision-making skills are essential.
- Demonstrated experience sharing knowledge with others the ability to explain to others : technology, processes, etc.
- Comfortable working with people in-person and remotely.
- Ability and comfort learning new computer software fairly quickly and the ability to disseminate use of said software as needed.
- Ability to know when to keep various types of information to themselves whether company, client, or staffing related.
- Helpful to have general knowledge related to the employee benefits realm of insurance and / or interest in learning about it terminology, roles, and responsibilities, and learning company’s proprietary products and services.
- Helpful to have general knowledge related to contracts / agreements
