Executive Assistant to the Provost and Vice President for Academic Affairs
Summary : Reporting to the Provost and Vice President for Academic Affairs, the Executive Assistant provides administrative support to the provost.
This role is integral to the overall success of the academic leadership team.
Work performed : General administrative duties including, but not limited to, preparing correspondence, maintaining electronic faculty employment files, managing business related tasks including budget oversight, making travel arrangements, scheduling interviews and meetings, and preparing items for Trustee meetings.
Collection of data, compiling and reviewing monthly payroll from academic departments, answering phone calls and routing calls to the correct person, greeting visitors, and coordinating events including the opening weeks of each semester, preparing for Commencement, and prioritizing requests for meetings.
Responsible for ordering, and keeping inventory of office supplies, working with all offices across campus.
Perform other related duties incidental to the work described herein.
Qualifications
Education : Bachelor’s degree from an accredited college or university is preferred, but 10 years of similar work at an executive level will be considered in lieu of education.
Experience : Five years minimum as an Executive Assistant including managing an office for a senior manager or other high-level experience.
Excellent written and verbal communication skills. Must be able to work effectively independently and as part of a team and maintain a high level of confidentiality.
Detailed competency in various software packages with extreme proficiency in Microsoft Office and web-based systems. Exceptional attention to detail and the ability to multitask in a busy work environment are critical to this position.
Time management, prioritization, problem-solving and decision-making skills are critical to the success of the Provost’s Office.
The successful candidate must demonstrate the ability to act as a gatekeeper and escalate relevant information to the provost as needed.
Previous experience in an academic environment desirable.
