Financial Aid Disbursements Manager

Summary of Function :
Coordinates and participates in the financial aid disbursement accounting functions.
Typical Duties :
Serves Students. Coordinate and manage the 3rd-party BankMobile disbursement system on behalf of AWC. Responsible for keeping an administrator role in the system and for testing and implementing new and existing procedures.
Train new employees Districtwide and serve as the main point of contact. Responsible for transmitting various required files through SFTP to BankMobile.
Produce various BankMobile reports and serve as the main contact for troubleshooting. Oversee the refund process and make sure all refund files are transmitted timely and accurately.
- Counsel and review with students their accounts and financial aid disbursement status as needed. Oversee the processing and disbursement of student refunds and financial aid awards by following Federal, State, Local, and Private guidelines and verify the accuracy of documentation.
- Maintains and manages cash flow records and balances for the Federal Title IV programs. Analyzes and determines the need for and prepares journal entries as appropriate.
Initiates and processes drawdown of funds from the ED website. Review daily deposits to District’s Federal bank account, prepare requisitions, and create journal entries for deposits.
Monthly reconciliation of all transmitted financial aid awards with the general ledger and third-party sources to include, but not limited to, Federal Title IV, Direct Loans, VA, State, and Private awards.
Monitor accuracy of Federal Work Study institutional match and coordinate corrections as needed. Ensure that all Federal Due Diligence requirements are followed.
Supervise and manage the disbursement department team. Train, supervise, and evaluate staff. Provide information to staff, students, and the public regarding Federal Financial Aid cash management guidelines.
Confer, set up, and monitor Institutional and grant-funded scholarships with the district’s directors and managers.
Gather and compile data for various reports and correspondence. Maintain contact with various government agencies and prepare fiscal reports according to established accounting procedures.
Prepare all closing entries at fiscal year-end for Title IV, Institutional and Private programs. Prepare annual FISAP and review for accuracy.
Verify, calculate, and set up charges for IRS taxes on all individual tax packets for International Students receiving taxable scholarships.
Work closely with Accounting and International Student Offices.
Support and participate in strategic planning initiatives and perform other duties as assigned.
Required Qualifications :
- Master’s degree in accounting, business, finance or mathematics AND two years of experience in Enterprise Resource Planning (ERP) Systems or other Computerized Education System, AND two years of experience in using comprehensive student or financial information systems, AND professional experience with MS Excel, Ellucian Colleague or another comprehensive student software, in reconciling accounts, data sets, or financial reports, in interpreting and applying policies and procedures to meet federal, state, or local compliance requirements
- Bachelor’s degree in accounting, business, finance or mathematics AND four years of experience in Enterprise Resource Planning (ERP) Systems or other Computerized Education System, AND Professional experience with MS Excel

Position Type & Work Schedule :
- Full-time, 12-month position
- 38 hours per week
- Monday-Thursday, 8 : 00am-6 : 00pm
- Work flexible schedule to meet the program, department, and / or institutional needs, which may include Fridays, nights, and / or weekends

Work Environment :

Physical Demands :
