Reporting to the Director of Court Services, this position is responsible for providing administrative support to various Court Services Programs, such as the Certified Court Reporters, Certified Courtroom Interpreters and Judicial Education.
This position will be the first point of contact for the Administrative Office of the Courts (AOC). The AOC is housed within the Oklahoma Judicial Center along with the Supreme Court of Oklahoma, the Court of Criminal Appeals and the Appellate Court Clerk's office.
Responsibilities and Essential Functions :
Greet and welcome guests as they arrive, answer, screen and forward incoming calls
Receive, sort and distribute daily mail / deliveries
Enter continuing education hours for interpreters and court reporters and maintain credentialing renewals and payments for Court Services Programs
Process credit card payments for license renewals, workshops, and conferences
Accept and record registrations for various workshops and conferences
Organize and set up for meetings
Maintain current Judicial Center phone lists and building protocols
Serve as the lead Publisher for the internal AOC Buzz Employee Newsletter
Perform additional administrative duties upon request, such as filing, photocopying, operating postage machine, assembling manuals or other materials
Knowledge, Skill and Ability Requirements :
Strong interpersonal skills required. Ability to interact professionally and appropriately with a wide variety of stakeholders, including judges and Justices, court clerks, AOC staff, attorneys, and the general public.
Must have professional demeanor and strong work ethic.
Ability to maintain strict confidentiality regarding the court’s internal processes and all matters pending before the Court.
Excellent oral and written communication skills, including proper grammar, spelling, punctuation, and arithmetic. Ability to compose correspondence, understand and relay complex information, and comprehend details and nuances.
Knowledge of administrative and office procedures. Strong computer skills, including Microsoft Office applications, and ability to use standard office equipment.
Ability to make moderately complex decisions in accordance with established rules, policies and procedures.
Ability to maintain administrative, legal, and general records and to prepare reports and answer questions from records.
Excellent organizational skills with an ability to work independently and schedule time to meet deadlines. Strong customer service focus, with ability to be resourceful and proactive when issues arise.
Education and Experience Requirements :
Graduation from High School or the equivalent GED certificate. Legal assistant, paralegal, or law school course work or training is beneficial.
5+ years’ experience performing administrative duties in a professional environment (or equivalent combination of training and experience);
Prior employment in a law office or court setting is beneficial. State government experience is beneficial.
Strong experience with Microsoft Office applications (MS Word, Outlook, Excel, Teams, etc.).
Experience scheduling and managing meetings involving internal and external participants (in-person and via videoconference)
Experience operating various types of office equipment (copier / printer, postage machine, shredder, etc.)
