As an O&M Administrator, you will report to the site Director and support in a variety of different task for the daily operation of the site.
Performs administrative duties related to site daily activities. Providing administrative support to site management and Human Resources.
Responsibilities includes, executing administrative tasks, coordination of visitors, ensuring management of orders and invoices in different O&M environments, management of user database, Non-Product Related supplies, managing events and calendars;
meeting and event arrangements including cost claims; preparing basic reports and basic data analysis. Primary Responsibilities Administration support for O&M Activities :
- Responsible to maintain and update communications boards and vis-screens with the latest information.
- Ensure roll out of proper communication through the process implementation, incl. respective documentation and records.
- Document Control all internal documents, archiving hard / soft copies in appropriate filing system.
- Interface with high-level internal and external contacts and customers.
- Maintain professional and personal agenda, arrange meetings and appointments, and provide team reminders as necessary.
- Prepare monthly reports, presentations, and meeting minutes.
- Develop and carry out an efficient and effective documents along with a filing system.
- Prioritize and manage different requests and plan your work independently.
- Drive employee engagement committee, outreach programs, and internal communications.
- Central control operational support as needed (answer phones, PA announcements, etc.).
Office Administration
- Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents.
- Greet site visitors, provide proper access, and escort duties within site policy.
- Code and file documents according to the established procedures.
- Update and ensure the accuracy of the organization's document control database.
- Close-out various maintenance work orders.
- Administration support to office and managers (Operations, HR and Maintenance) as needed.
- Prepare meeting agendas, minutes and supporting material for distribution.

- Previous experience working in a similar role.
- 1+ year related to an executive administrative assistant or in other secretarial position
- Proficiency in MS Office with expertise in Word, PowerPoint, and Excel
- Confirmed experience in verbal and written business correspondence
- Full comprehension of office management systems and procedures
- Excellent problem solving, critical thinking and clear communication skills
- Proactive and efficient responses to pressing issues and challenges.
