Position Summary
The Executive Support / Coordinator will work closely with the senior leadership team, providing essential administrative and organizational support.
The ideal candidate will have 3+ years of experience in executive support or office management, demonstrating strong attention to detail, discretion, and the ability to work proactively.

Key Responsibilities
- Office Management : Handle office operations including supplies management, shipping, document scanning, and building maintenance coordination.
- Meeting Facilitation : Coordinate and schedule meetings, manage attendee availability, send invites, and oversee logistics.
- Travel Arrangements : Organize travel plans including flights, accommodations, and ground transport for executives and external stakeholders.
- Calendar Management : Manage executive calendars, ensuring appointments and meetings are efficiently scheduled across time zones.
- Communication : Serve as the point of contact between executives and various internal / external stakeholders. Manage general inboxes and voicemail.
- Event Planning : Plan office events and team-building activities, overseeing logistics such as venue reservations and catering.
- Human Resources & Compliance : Assist in posting job openings, coordinating interviews, onboarding new hires, and administering compliance training.
- Financial Support : Provide support with tracking expenses, managing reimbursements, and processing invoices.
- Data Management : Maintain accurate records of meetings and communications within the firm’s CRM tool.
- Personal Assistance : Provide ad hoc personal support to senior executives, including scheduling, reservations, and errands.
Qualifications
- Bachelor’s degree
- 3+ years of experience supporting executive-level management, preferably within the financial sector
- Proficiency in MS Office Suite (Excel, Word, Outlook)
- Strong written and verbal communication skills
- Highly organized with the ability to manage confidential information discreetly
- Self-starter with excellent prioritization and multitasking abilities
