Position Summary The Assistant / Associate Dean for Student Affairs and Enrollment Management is responsible for providing overall leadership and oversight of student support programs to enhance the educational experience at the University of Incarnate Word’s School of Osteopathic Medicine (UIWSOM).

Program oversight includes the areas of student affairs, student support, student recruitment, admissions, financial aid, record maintenance, enrollment, and alumni relations.

The Assistant / Associate Dean for Student Affairs and Enrollment Management reports to the Dean, School of Osteopathic Medicine.

Lead and administer the Office of Student Affairs, Enrollment, and Admissions (OSEA) services and related administrative operations, including budgeting, defining and appointing staff positions, developing policies and addressing COCA admissions, student affairs, and operational requirements;

these areas include student recruitment, student admissions, student orientations, scholarship and awards, maintenance of the academic calendar, maintenance of secure and confidential student records, financial aid, student wellness, student counseling, student professional and social events, student interest groups, pipeline development, and alumni relations.

Oversee all recruitment, admissions, enrollment, and related processes of DO, MBS, MPH, and UIW direct admit students from point of entry to commencement and beyond.

This will involve occasional travel primarily in the central and south Texas region with occasional travel to conferences in the US.

  • Nurture a supportive, safe, and healthy environment for students, including collaboration with UIW Health Services in planning for and monitoring student health services (including compliance with required immunizations), student counseling and mental health services, anti-harassment training and support, diversity and cultural awareness training, HIPAA training, training for limiting exposures to infectious agents and environmental hazards, and safety and security training.
  • Support the development and implementation of holistic admissions processes and other innovative strategies to optimize admission, and matriculation, ideally resulting in a diverse student body that meets the UIWSOM mission.
  • Oversee planning, coordination, and execution of annual recurring events including incoming student orientation, White Coat Ceremony, Commencement, student awards, residency fairs, social events, recruitment open houses, and community service projects.
  • Monitor and report regional, national, and international trends in medical education as they relate to admissions and matriculation.
  • Examine new strategies and communication for every point in the admission funnel, particularly related to out-of-state candidates.
  • Examine and enhance the current candidate interview structure.
  • Develop a solid alumni relationship program using social media, events, websites, interview participation, and other means of communication.
  • Ensure that all academic and health records are maintained according to all applicable laws and accreditation requirements.
  • In collaboration with faculty and staff, participate in community and UIW programs to enhance the creation of robust pipelines for medical students and the health professions.
  • Create opportunities for additional financial support of MBS and DO programs.
  • Ensure accreditation standards related to financial aid are met.
  • Serve as the Enrollment and External Affairs representative to appropriate organizations, both internally and in the community.
  • Oversee functions of DO and MBS faculty admissions committee.
  • Serve as the Enrollment and External Affairs representative to appropriate associations including AACOM, TAAHP, and NAAHP.
  • Further develop key relationships with health professions advisors.
  • Foster professionalism through innovative admissions, student affairs, and medical education processes.
  • Identify further technological support needed to enhance processes and functions related to areas of enrollment and external affairs.
  • Prepare and review the student handbooks for SOM programs annually.
  • Coordinate development and implementation of student mentoring and career guidance programs and other innovative strategies to optimize the osteopathic medical student experience.
  • Participate in and support educational research and scholarship as they relate to issues pertaining to admissions and student diversity.
  • In collaboration with the Dean and other members of the senior leadership team, facilitate skill development for faculty in the areas of admission and enrollment.
  • Create marketing opportunities using social media, the UIWSOM website, campus events, and by working with regional and national health professions organizations.
  • Work collaboratively with UIW faculty and administrators, specifically for pathway, pipeline, and MOU development.
  • In collaboration with faculty and staff, participate in community and UIW programs to enhance the creation of robust pipelines prospects for medical students and the health professions.
  • Assist with the preparation of accreditation documents and reports regarding admissions, records, student related services, and financial aid;

coordinate these efforts / activities and reports with relevant administrators, faculty, and / or staff.

  • Ensure that all academic records are maintained according to applicable laws and accreditation requirements.
  • Engage regularly with students / student representatives to provide a participatory forum for students to voice issues and provide ongoing feedback.
  • Serve on UIW and UIWSOM committees and working groups as assigned by the Dean of the SOM.
  • Perform all other duties as assigned.

Required Education EdD, PhD.

Required Work Experience

  • Ten (10) years of progressive leadership experience in admissions, enrollment, or student affairs in higher education.
  • Five (5) years of experience in the supervision of professional level employees.
  • Experience with accreditation.

Preferred Qualifications

  • Experience working in an osteopathic or allopathic medical school.
  • Experience with the transition to graduate medical education training.
  • Experience with COCA accreditation standards and processes.
  • Experience identifying and ensuring advocacy for at-risk students.

Required Certifications, Licenses or Registrations Must have a valid driver license, driving record that is insurable by UIW insurance carrier, and be at least 21 years of age, as required to drive for UIW.

Work Hours Typical office hours are Monday through Friday from 8 am to 5 pm with extended hours as needed, especially during peak periods and the planning and execution of events, to meet departmental goals.

This will include some evenings and weekends. Physical Demands

  • Ability to regularly move about campus and event venues to actively engage faculty / staff / students (potential / current) / guests, as well as attend meetings on and off campus.
