Excel Medical Center LLC is a growing primary care practice with a mission to serve the medically-underserved adult, urban population located in the Philadelphia area via our 15 primary care clinical locations.

In addition, we provide medical management in 13 Nursing Homes / Long-Term Care (LTC) setting.

As an engaged clinical / business leader, the Office Manager maintains clinical office services by organizing office operations in a very fast-paced environment, including front office staff and office procedures, controlling all correspondences (mail, faxes, emails) ;

designing filing systems; reviewing and submitting supply orders; assigning and monitoring clerical functions (assigning tasks to staff, making sure all paperwork is filled out, all prescriptions and patient paperwork are scanned and uploaded, referrals and prior authorizations are complete and notated in patient charts, completing all necessary office duties including care gaps, annual wellness visits and CCMs)

  • Direct reports include one or more Front Desk Medical Receptionists and Medical Assistants / Certified Medical Assistants (CMA / MA).
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement in our new, large office facility.
  • Follows and implements office policies, standards and procedures (provided by Administration); measuring clinic results against standards;

making necessary adjustments and providing feedback to the staff, creating operational result reports for management.

  • Completes operational requirements by assigning duties to front office clinical employees and following up on work results.
  • Keeps management informed on a weekly basis of progress within the clinical office.
  • Maintains communication & partnership with Providers, ensuring the best quality support and ensuring best delivery of care and follow-through on agreed processes.
  • Manages office staff by facilitating weekly meetings to go over expectations, clinic performance results and tasks for the week.
  • Enhances office staff job results by coaching, counseling, monitoring, and appraising job results.
  • Maintains office cleanliness (bathrooms, break room, front desk, patient rooms, etc.)
  • Maintains professional and technical knowledge by attending monthly or weekly meetings as requested by Administration
  • Contributes to team effort by accomplishing related results as needed.
  • Prior EMR experience is required; AthenaOne is a plus
  • Prior experience with Insurance portals required, such as PEAR, NaviNet, etc.

Job responsibilities may vary to reflect changing business needs.

Skills and Qualifications :

Minimum 5-7 years prior relevant experience as medical clinic Office Manager is required.

Prior certification and clinical experience as CMA / MA, Phlebodomist, or Medical Receptionist is a plus +.

Excellent leadership skills, strong customer service orientation, maintains confidentiality, with a skillful, patient approach to resolved challenging situations.

Experienced working in support of medical Providers (Physicians, Nurse Practitioners, etc.)

Prior EMR experience is required; AthenaOne is a plus

Prior experience with insurance portals required, such as PEAR, NaviNet, etc.

Excellent organizational skills and problem-solving skills.

Strong prior medical teamwork and front desk experience.

Excellent administrative skills to track clinic performance, ensuring compliance to goals and delivery of best services.

Very positive team leader with strong interactive communication skills who's committed to growing staff.

Bilingual Spanish / English or Haitian Creole / English is a definite plus!

Our preventive healthcare consists of steps taken for disease prevention. We provide these services on the basis that getting preventive care, such as screenings and immunizations, can help you and your family stay healthy.
