Essential Functions and Job Summary

We are seeking an experienced and detail-oriented Events Field Operations Specialist to join our IT Events Management team.

In this role, you will play a pivotal role in ensuring the cohesive execution of NBA events. Your responsibilities will include providing on-site program management, coordinating event logistics, supervising vendors, timely setup, breakdown, and assisting with equipment setup, shipping, handling, and coordination.

Major Responsibilities

  • Provide comprehensive on-site program management, including event logistics coordination across multiple venues and hotels.
  • Conduct site visits and obtain floor plans and layout to ensure smooth event execution.
  • Coordinate equipment shipments to and from event venues, ensuring timely delivery and return as per event schedules.
  • Establish and maintain working relationships with venue and hotel IT staff to ensure accessible event spaces for setup.
  • Manage and offer initial support for the deployment and functionality of IT equipment, ensuring connectivity and operational readiness.
  • Collaborate with internal stakeholders to manage and communicate event schedules, timelines, and changes.
  • Conduct pre and post-event inspections to assess setup and ensure smooth operations.
  • Supervise on-site vendors, assign tasks, and ensure contractual compliance.
  • Effectively communicate risks and issues and collaborate with IT staff to address and resolve them.
  • Help with planning, replenishing, and managing event equipment and inventory
  • Maintain detailed events documentation, including schedules, budgets, and reports during the events.
  • Capture and respond to change requests to support events success.
  • Collect and analyze feedback to improve future events.
  • Collaborate with IT Events Project Manager on events documentation, on-site status update, and support documents creation throughout the event.

Required Education / Professional Experience

  • Bachelor's degree preferred.
  • 3-5 years of experience in Events management, program coordination, or a similar role.

Required Skills / Knowledge Attributes

  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent communication and interpersonal skills, with the ability to work collaboratively with internal and external stakeholders.
  • Proven ability to identify and articulate risks and issues and work proactively to address them with the IT team.
  • Experience in coordinating logistics for events, including equipment shipments and vendor management.
  • Detail-oriented mindset with a focus on ensuring smooth events execution and adherence to contractual requirements.
  • Extensive knowledge of IT equipment deployment and troubleshooting, as well as infrastructure cabling, to provide support during events.
  • Analytical skills to collect and analyze feedback, identify areas for improvement, and implement changes for future events.
  • Resourceful and proactive problem solver, able to find creative solutions and adapt to changing events’ needs.
  • This role requires work in office and remotely, and the flexibility to travel domestically and internationally (up to 50%), and to be available nights and weekends throughout the year

Salary Range : $95,000 - $105,000
