Position Overview
The Chief of Staff at KanREN is a critical leadership role, driving cross-departmental alignment with organizational goals.
The Chief of Staff works closely with the Executive Director to prioritize strategic initiatives and manages the coordination of major projects.
This role requires managing high-level operational tasks while also ensuring the smooth execution of projects and daily activities.
The Chief of Staff works closely with the Executive Director to ensure resource allocation, and maintain consistent communication across all levels of the organization.
This role facilitates communication between technical and business teams and ensures project completion within time and budget constraints.
Additionally, the Chief of Staff represents KanREN to external stakeholders, ensuring that the organization's goals and services are clearly communicated.
This position requires a blend of strategic foresight, operational management, and excellent communication skills.
Essential Functions
Project Management and Execution :
- Manage cross-departmental projects, ensuring efficient achievement of organizational goals.
- Facilitate communication and collaboration between teams to support alignment with organizational objectives.
- Lead internal and external projects, collaborating with stakeholders to ensure successful implementation.
- Oversee project execution, managing timelines, resources, and deliverables effectively.
Performance Monitoring and Internal Development :
- Develop and implement frameworks for project tracking and performance monitoring.
- Coordinate initiatives related to member and organizational growth and development.
- Ensure internal development aligns with external member and partner expectations.
Service and Communication :
- Support the development of the service catalog, ensuring services are clearly defined, documented, and aligned with member needs.
- Manage internal and external communications, ensuring timely and accurate dissemination of information to stakeholders.
Marketing and External Relations :
- Coordinate marketing strategies and oversee promotional campaigns to enhance KanREN's visibility.
- Collaborate with external partners and vendors to execute marketing and service-related efforts effectively.
- Oversee the creation of marketing materials, presentations, and communications that reflect KanREN's mission and services.
- Ensure consistent branding across all external communications, including social media and website updates.
Strategic Leadership and Goal Setting :
Assist the Executive Director in setting strategic goals, prioritizing key initiatives, and driving organizational growth.
Key Technologies or Abilities
- Conduct technical writing, documentation, and delivery of seminars to support organizational training and knowledge sharing.
- Manage technical and capital projects, including roadmaps, cost analysis, performance reporting, and event planning for workshops and educational initiatives.
- Develop creative marketing campaigns, design reports, and update website content to increase awareness and maintain brand consistency.
- Utilize CRM systems (e.g., Salesforce) and financial tools (e.g., QuickBooks) for member, service, and financial management.
- Report on financial and technical performance monthly, using data to inform strategic decisions and optimize processes.
- Leverage project management tools and collaboration platforms (e.g., Asana, Microsoft Project, Slack) to drive project success and facilitate cross-departmental communication.
- Lead both technical and non-technical teams, fostering a collaborative environment and ensuring effective execution of organizational goals.
- Assess organizational needs, prioritize initiatives, and align strategies with KanREN’s mission and growth objectives.
- Implement internal policies and frameworks to ensure operational efficiency, compliance, and data integrity.
Requirements
A bachelor’s degree in Business Administration, Project Management, or a related field is preferred. Equivalent work experience may be considered in lieu of a degree.
A minimum of 5 years of experience in a similar role, ideally in a nonprofit or technology-focused organization, is highly desirable.
The candidate should demonstrate success in managing cross-functional teams and projects, with experience using CRM and financial tools.
Authority
- Authorized to make recommendations on project timelines and prioritization.
- Provides input to the Executive Director on strategic initiatives and organizational improvements.
Financial Responsibility
- Responsible for managing budgets related to assigned projects and strategic initiatives.
- Can approve project-related expenses within allocated budgets.
- Provides recommendations on cost-saving measures and budget adjustments to the Executive Director.
