POSITION SUMMARY

Staff Officers at the GG-11 level administers, coordinates, and evaluates tasks and activities; and integrates projects and programs to ensure effective and efficient day-to-day operations and advance the overall intelligence mission, usually at the division or office level.

Officers leverage technical and administrative skills, and applies detailed knowledge of applicable laws, regulations, and policies to manage tasks and resolve issues impacting office operations, support services, and personnel management.

Independently performs a variety of recurring activities including executive support, personnel programs, security, and task / records management, and related activities.

Facilitates information flow, storage, and retrieval. Conducts specific research, and identify trends and potential improvement areas.

Officers synchronize the range of enterprise service functions to include event planning and execution, travel services, space management, and courier operations If assigned to an Embassy Platform, officers can expect to represent DOD / DIA and perform duties commensurate with grade in an interagency environment.

Works directly with foreign nationals, ensures physical security, and manages motor pool operations. Develops and executes accurate and cost-effective manpower and budget plans to support current and future platform-based operations.

Understands relevant safety and security issues for assigned platform and implement emergency procedures or response when required. POSITION DUTIES

This position is located in Scott, Illinois and is with the Mission Services, Field Support Activity Reston (MSR).

This position is responsible for performing the following duties :

Applies knowledge of a range of principles, concepts, agency goals, programs, missions, and functions.

Validates, assigns, and tracks actions on tasks and projects. Identifies stakeholders in tasks / projects and collaborates with owner to ensure timely completion.

Monitors status of all tasks and projects to measure progress, to ensure completion by suspense date, and to identify variances effecting the successful completion.

Conducts administrative functions to support senior leadership and management officials within the agency. Advises senior leadership on administrative matters relating to the accomplishment, coordination, integration, and synchronization of a variety of substantive staff actions, events, and other related assignments which may require an interpretation of the facts in order to render service.

Provides information on continuing, current, and proposed actions, programs, and plans.

Drafts correspondence for management signature.- Reviews outgoing correspondence and ensures compliance to with appropriate guidelines and procedures.

Plans and schedules a range of administrative functions to support senior leadership and management officials within the division or office.

Integrates organizational actions, events, and activities within purview to facilitate effective management.

Initiates and ensures effective communication, coordination and follow-up actions with subordinate elements.

Receives and reviews all incoming correspondence documents and taskings directed to the office.

Monitors and recommends changes in operations to address deficiency situations.

Reviews and interprets proposed policies and announces and implements them when approved.

Ensures internal procedures are current and do not conflict with other established regulations.

Examines administrative operations and actions to identify and record best practices, inefficient practices, and recommends improvements.

Orders required material or services and maintains positive control of accountable items.

Maintains calendars and schedules. Receives and screens routine telephone calls and greets visitors. Makes travel arrangements, such as scheduling transportation, making hotel reservations, and preparing travel orders and vouchers based on general travel intentions, known preferences of the traveler, and in accordance with appropriate travel regulations.

Serves as a liaison between the organization executive manager and their subordinate managers to coordinate special projects and tasks.

Relays directions and tasking, and coordinates replies and responses.

Collaborates with action officers to maintain status, to assure timely completion of tasks, and to identify any follow up actions.

Conducts research and analysis of basic administrative issues and provides information and material to support recommendations needed for decision-making and passes on to senior management for accuracy and quality.

Prepares situation reports to summarize conclusions for management review.

Coordinates correspondence, memos, information papers, and desk notes as needed to support the division or office; and provides quality control for all materials.

Employees currently assigned to a foreign area are ineligible for consideration if selection will cause them to exceed the time limitation for foreign area service or, conversely, the employee will not satisfactorily complete their period of obligated service within 6 months of the closing date of this announcement.

More than one permanent change of station move within a 12-month period is not considered to be in the interest of the government for the purposes of relocation at Government expense.

May be required to perform duty at other operating locations.

DEPLOYMENT / MOBILITY STATEMENT

All DIA employees are subject to world-wide deployment to crisis situations and are subject to geographic relocation in accordance with agency guidelines.

SHIFT WORK

Availability for shift work, extended hours, and travel may be required for this position.

RELOCATION COSTS

Relocation expenses in connection with a permanent change of station may be authorized in accordance with the Joint Travel Regulations and at agency discretion.
