Program Coordinator
The Center for Advanced Studies in Business, Inc. (CASB) is an independent 501(c)(3) organization affiliated with the Wisconsin School of Business (WSB).
CASB provides non-credit continuing education and consulting to businesses and professionals in the process of a transition.
CASB’s mission is to provide customers with the skills and resources to make business transformation and professional transition successful.
CASB is the term applied to the non-profit entity. The public face of CASB has two branches. Those two are called the Center for Professional and Executive Development (CPED) and the Wisconsin Family Business Center (FBC) and these names are used
for marketing purposes.
Position Summary
The Program Coordinator position is a full-time salaried position that coordinates and provides heavy administrative support for a wide range of programs consisting of 10-150 people for varying durations.
Coordination of these programs and the related support activities include the management of all program details as well as the coordination of program sessions at various stages of preparation or closing throughout the year.
This position operates under a large degree of autonomy reporting to the Manager of Client Experience. S / hedevelops their own work sequences and methods to meet the requirements of the programming function within departmental policies and procedures.
The position is responsible for aiding in the efficient operation of the department and providing an atmosphere conducive to continuing education.
Position Responsibilities
Responsible for the coordination and administration of 80+ program sessions annually including, but not limited to :
- Assisting client relationship management team, internal team members, and instructors with program logistics and event coordination for corporate clients, CPED, FBC, and / or internal events
- Engaging in regular communications with clients, instructors, members, sponsors and / or participants about program details and requirements
- Preparing, ordering, and administering all program-related materials, including copyrighted materials, assessments, and pre-work for programs as it applies
- Preparing and printing participant name badges and tent cards, enrollment histories, and final session rosters
- Attending to assigned programs to provide a positive experience including setting up, opening, and / or closing program sessions as required
- Preparing arrangements for instructors including classroom needs and lodging as needed
- Securing conference facilities, audiovisual, and food services for programs
- Updating of database records such as participant records, CEUs, certificates of completion, etc.
- Provide back-up support to other team members as needed
Position Requirements :
- Minimum of 2+ years of experience providing administrative support and customer services for multiple products; experiences in a conference planning environment preferred
- Strong attention to detail and exceptional customer service skills required
- Must be highly proficient in Microsoft Office Suite and Adobe Acrobat software
- Digital proficiency in computer operation and internet access is required, experience with hybrid meetings or events is helpful
- Ability to analyze information, demonstrate strong decision-making skills, and solve problems
- Can work independently as well as within a team
- Must possess excellent verbal and written communication skills, patience, and professionalism
- Ability to multi-task and shift between tasks quickly in a fast-paced environment
- Must be available to work a varied and flexible schedule, including early mornings, periodic evenings, and occasional weekends, both remotely and in-person at the Fluno Center in downtown Madison, WI.
- Must be able to lift up to 30 lb. boxes and able to walk and stand frequently throughout the day
