Under supervision of the Executive Director of Human Resources and Vice Chancellor for Academic Affairs, the Faculty Recruitment and Retention Coordinator is responsible for creating a positive experience for applicants, candidates and hiring managers through administrative excellence.
This position requires excellent communication and interpersonal skills with high attention to detail, ability to multi-task, and prioritize.
This position will work closely with a wide variety of college personnel and off-campus employers. In addition, this position must be able to interpret and apply federal, state and institutional rules and regulations governing the eligibility of workers.
Faculty Recruitment and Retention Coordinator is also referred to as CTE Coordinator and will own the process of hiring individuals with the skills and abilities needed for positions within our Career Technical Education Department.
In collaboration with the Deans, Program Chairs, Human Resources, and supporting departments, this position is responsible for the coordination of activities related to the recruiting, hiring, onboarding, and continuing support for CTE faculty in a timely, service-oriented manner.
This includes sourcing and attracting talent, interviewing, background checking, and onboarding. The CTE Coordinator will own developing an infrastructure for marketing employment opportunities for CTE Faculty.
Additionally, with developing a foundation for internal communications from HR and CTE Faculty engagement
activities / events for all employees. The incumbent will also manage the candidate experience from initial contact through onboarding, as well as providing continued support throughout faculty careers.
Annual Salary : $48,000
Main Responsibilities :
- Work collaboratively with Human Resources, Academic Affairs Leadership, Executive Director of Ivy+ Career Link, and other relevant parties to recruit and hire highly qualified full-time and adjunct faculty for Career and Technical Education (CTE) programs
- Deliver a full range of administrative support for hiring managers and serve as the main point of contact for all inquiries related to faculty employment involving internal and external applicants
- Manage the applicant flow and candidate experience within Workday. Review, create, and maintain job descriptions, postings, and advertisements
- Manage the onboarding process for new hires, ensure candidate status updates happen in a timely manner and conduct follow-up communication post hire
- Support and collaborate with academic affairs leadership in the integration of newly hired faculty into the college learning community
- Assist in processing and updating documentation of teaching credentials
- Develop and maintain digital records as needed by the Lake County Campus and Ivy Tech Systems Office (SO)
- Provide support for faculty teaching during weekend and evening hours, if required
- Assist in the development and facilitation of faculty-led professional development initiatives
- Assist with learning management system training
- Provide support for staff and temporary employment by assisting hiring manager(s) with screening applicants, serving on search committees, and providing guidance throughout the interviewing process;
Create offer letters, conduct pre-employment screening and data input hires in Workday; Generate and create reports to ensure data accuracy and employment metrics
- Deliver training related to employment, hiring, and use of Workday for hiring managers, employees and applicants; Proactively develop comprehensive employment, hiring and onboarding materials for hiring managers, employees, and applicants
- Represents the Academics and Office of Human Resources to promote employment during new faculty orientations and career event.
Develop and execute two campus employment fairs per fiscal year
Create and implement marketing and social media strategies to promote CTE Faculty recruitment, engagement, and retention
Administrative :
- Ensures accurate personnel records
- Perform general filing, record keeping, mailing, and other normal clerical tasks will be part of the typical day
- Maintain integrity and confidentiality of internal records and communications. This will include periodic internal audits
- Interpret and understand personnel policies and operating procedures for employees and supervisors on their request
- Prepare weekly reports on staffing and recruitment efforts
Other Requirements :

Working Hours :
This is an exempt level position
Occasional evening and / or weekend hours are expected to ensure seamless recruitment and onboarding experience
Office hours are 8 : 00 a.m. 5 : 00 p.m.
Physical Requirement :
Prolonged periods of sitting at a desk and working on a computer
Must be able to lift up to 15 pounds at times

Minimum Qualifications :
Associate degree or human resource certification along with 3-4 years' related work experience
Two years professional experience or in education, higher education or other field that is directly related to the functions of the position
Intermediate level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Office365) Workday, PageUp, Oracle Cloud, Taleo or other Applicant Tracking Systems
High level attention to details, strong communication, critical thinking, decision-making, and interpersonal skills are essential for success
Ability to travel and work diverse audiences and / or independently with minimal supervision
