About the role :

We are seeking a Chief of Staff to the Creative Director. In this role, you will be responsible for managing projects, organizing assets, overseeing video and photo production, and carrying out special projects as they come.

As part of a small but growing team, you will need to be adaptable, hands-on, and efficient in managing day-to-day tasks, including in-person activities.

Responsibilities :

Project Management : Lead the end-to-end management of creative projects, including product launches, marketing campaigns, and photo / video shoots.

Develop project plans, establish timelines, allocate resources, and track progress to ensure successful execution within budget and schedule constraints.

Cross-Functional Collaboration : Work closely with cross-functional teams, including marketing, product development, retail operations, and sales, to align creative initiatives with overall business objectives.

Facilitate communication and collaboration between teams to drive synergy and maximize impact.

Budget Management : Assist in budget planning and management for creative projects, tracking expenses and ensuring cost-effectiveness while maintaining quality standards.

Negotiate favorable terms with vendors and suppliers to maximize value and minimize costs.

Asset Organization : Establish and maintain systems for organizing and cataloging digital and physical assets, including photos, videos, design files, and product samples.

Ensure assets are properly labeled, archived, and easily accessible to facilitate efficient workflow for the creative team and external partners.

• Video and Photo Production : Assist with organization and on-set production of video and photoshoots. Track budget and manage rights and usage to models, photographers, and publications.
• Special Projects : Take on various in-person tasks as needed, including attending meetings, coordinating photo / video shoots, conducting retail site visits, and representing the brand at events.

Troubleshoot issues as they arise and ensure swift resolution to minimize disruptions.

What you’ll bring

• Over 5 years' experience in creative space
• Experience working on set
• Bachelor’s degree in Marketing, Creative, or related field
• Proven track record of successfully working with external vendors.
• Highly motivated self-starter with strong ownership mentality
• Excellent verbal and written communication skills
• Strong critical thinking, analytical, and organizational skills
• Ability to manage multiple projects simultaneously in a fast-paced environment
• Demonstrated ability to collaborate with cross-functional teams and external partners
• Strategic mindset with keen attention to detail
• Adaptability and resilience in a fast-paced, creative environment
• Must be able to work from our Montclair, NJ office as required (3 days per week - M,T,Th)
