Job Summary : The Benefits and Compliance Coordinator is responsible for managing and overseeing various aspects of employee benefits and compliance programs.
This role includes the administration of the 401k retirement plan, billing processes, leave of absence management, ADA compliance, workman's compensation claims, workplace violence incident reporting, handling employee relations issues and conflict resolution, and supporting the HR department in various projects to help the team excel.
The ideal candidate will ensure that all programs are compliant with applicable laws and regulations while providing excellent support to employees.
Key Responsibilities :
- 401k Retirement Plan Management :
- Administer and manage the company’s 401k retirement plan.
- Ensure timely and accurate processing of contributions and distributions.
- Provide education and support to employees regarding plan options and benefits.
- Monitor compliance with ERISA and other relevant regulations.
- Coordinate with third-party administrators and auditors as needed.
- Billing :
- Oversee the billing process for benefits-related expenses.
- Reconcile invoices and ensure accurate payment processing.
- Address billing discrepancies and resolve issues in a timely manner.
- Maintain accurate records of all billing transactions.
- Leave of Absence Management :
- Manage employee leave of absence requests including FMLA, personal leave, and other statutory leave.
- Ensure compliance with federal, state, and company leave policies.
- Track and document all leave of absence activities.
- Provide guidance to employees and managers on leave policies and procedures.
- ADA Management :
- Administer and manage the company’s compliance with the Americans with Disabilities Act (ADA).
- Coordinate reasonable accommodation requests and interactive processes.
- Ensure documentation and communication are in compliance with ADA requirements.
- Provide training and support to managers and employees on ADA compliance.
- Workman’s Compensation Management :
- Manage workman's compensation claims from initial report to resolution.
- Coordinate with insurance carriers, healthcare providers, and employees to ensure timely and accurate claims processing.
- Maintain records of all workman’s compensation claims and ensure compliance with state laws.
- Conduct investigations and follow-up on workplace injuries and incidents.
- Workplace Violence Incident Reports :
- Handle the reporting and documentation of workplace violence incidents.
- Conduct investigations and coordinate with security and law enforcement as needed.
- Develop and implement workplace violence prevention programs and training.
- Ensure compliance with OSHA and other relevant regulations.
- Employee Relations Issues and Conflict Resolution :
- Address and resolve employee relations issues in a timely and effective manner.
- Conduct thorough investigations into employee complaints and concerns.
- Facilitate conflict resolution between employees and / or management.
- Provide coaching and guidance to managers and employees on conflict resolution techniques.
- Ensure that all employee relations activities are conducted in accordance with company policies and legal requirements.
- Support the HR Department and Team Development :
- Assist with HR projects and initiatives to improve department efficiency and effectiveness.
- Provide administrative support to the HR team, including data entry, report generation, and document management.
- Collaborate with HR team members to develop and implement programs that enhance team performance and employee engagement.
- Participate in HR meetings and contribute to strategic planning and decision-making processes.
- Help coordinate training sessions and professional development opportunities for HR staff.

Qualifications :
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- 3+ years of experience in benefits administration, compliance,
- Knowledge of federal and state regulations related to employee benefits and workplace safety.
- Strong organizational and communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Proficiency in HRIS and benefits management software.
- Certification in Human Resources (PHR / SPHR) is a plus.
Working Conditions :
- Full-time position with a standard workweek.
- Occasional travel may be required for training and meetings.
