Job Description Summary

The Administrative Assistant will provide necessary clerical / secretarial support to the College of Nursing and Health Sciences.

The Administrative Assistant will report to the Department Chair in Health Sciences in conjunction with the Occupational Therapy Program Director, and support various areas within Health & Rehabilitative Sciences.

The Administrative Assistant shall coordinate and perform responsible secretarial duties.

Responsibilities

Responsible to model the University Mission through dedicated job performance, service excellence to constituencies, respectful collaboration and active support of the University's Mission in Catholic and Lasallian higher education.

  • Assist the Department Chair with :
  • Compose and generate correspondence to students, faculty, and other parties as warranted.
  • Assist with preparations for meetings specific to the department / program.
  • Take and prepare meeting minutes as needed.
  • Assist with maintenance and monitoring of confidential files and data bases.
  • Ordering instructional materials and departmental supplies.
  • Independently generate and compose correspondence to students and faculty regarding records, policy, and student status
  • Compile data and prepare reports requiring overall knowledge of the academic, professional, and / or technical activities.

Reports include : progression, retention, graduation rates, program outcomes, accreditation reports, and surveys

  • Provide program information for prospective students
  • Type and edit complex materials, charts, tables, and graphs from rough draft to final form without specific instruction as required.
  • Assist with phone inquiries providing prompt and accurate information in a professional and courteous manner.
  • Assist with preparations for and implementation of department / program ceremonies and events which occur outside of normal business hours to necessitate presence during an occasional evening or weekend.
  • Assist with preparation for beginning of semester activities
  • Assist with generation of faculty overload contracts and adjunct contracts.
  • Assist with maintenance of department / program Blackboard organization(s).
  • Assist with maintenance of CONHS web site.
  • Assist with preparation of course / classroom schedule board.
  • Assist with input of requisitions in Banner
  • Manage Warehouse Direct orders for the department / program
  • Preparing applicant files for review
  • Coordinating faculty meetings, including scheduling, material preparation, and taking meeting minutes. -Coordinating and managing program events
  • Managing correspondence on behalf of the program and / or department
  • Assist in special projects and activities as assigned

Minimum Qualifications

High school diploma or equivalent credentials. A minimum of three years prior administrative assistant experience, proficiency in Blackboard and Microsoft Office platforms preferred, including Microsoft Word, PowerPoint, and Excel.

Excellent verbal and written communication skills required. The ideal candidate will be highly organized, responsive to direction, and able to work independently.

Preferred Qualifications

College degree. A minimum of three years prior secretarial experience in an institution of higher learning. A work record demonstrating discretion and confidentiality in records and communication.

Experience working with Banner.
