Job Summary
This position will provide operational, financial, human resources, and management support for the Office of the President.
The position will also serve as a liaison within the various University colleges and departments, including external partners.
In addition, will be relied on to provide accurate data and assist in the execution of various short, medium, and long-term projects, including events as deemed necessary for the Office of the President.
This position reports directly to the Vice President, Chief of Staff. - Ability to work collaboratively and cooperatively with diverse units and personalities within the College and across the University.
- Ability to maintain strict confidentiality, work in a fast-paced environment, and handle detail-orientated assignments.
- Excellent computer skills; MS Word, Excel, PowerPoint, Outlook, Banner, and Self-Service
- Organizational skills necessary to prioritize workload to meet long and short-term deadlines
- Flexibility in job assignments to meet departmental priorities and emerging or unplanned initiatives
- Ability to handle detail-oriented assignments with accuracy and consistency, with minimal supervision.
- Ability to travel to the WesternU Oregon campus as needed for events for the Office of the President.
- Excellent oral and written communications skills. Ability to interact effectively with administration, faculty, staff, and students is a top priority.
- Advanced mathematical skills, including the ability to design and manage complex excel spreadsheets
Required Qualifications
- Education : Bachelors degree in Business Administration, Accounting, Finance, Organizational Management or related field required.
- Experience : 2-4 years experience in supporting business operations, preferably in an academic environment
Preferred Qualifications Essential Job Duties Key Responsabilities Assists the Vice President and Chief of Staff as the financial administrator in developing and monitoring budgets for the Office of the President, including generating payment requisitions, purchase orders, budget & cash transfers, record keeping, credit card expense reports, statement reconciliation, and invoices.
Work collaboratively with the Vice President, Chief of Staff and Project Manager on the development of budget and financial projections, proposals, and reports.
Prepare quarterly reports on budget accounts and resolve budget operation issues. Assist and prepare budget and financial reports for restricted and unrestricted designated funds, prepare preliminary analyses, and give recommendations.
Key Responsabilities Administrator for PeopleAdmin, in conjunction with the Vice President and Chief of Staff, generates actions for human resources and the budget office, and oversees the hiring process.
Support the Office of the President by managing personnel-related items, including but not limited to drafting of position descriptions, organizing and facilitating the recruitment process for vacant positions, handling PeopleAdmin requests and processes that require initiation and input from the Office of the President, assist with staffing issues, and prepare and maintain all human resources paperwork for on all Office of the President actions and act as the primary contact with the Office of Human Resources.
Key Responsabilities Assists the Project Manager and Vice President in the Office of the President in planning and preparing for high-level ad hoc meetings and provides facilitation support, as needed, to University-wide committees as assigned by the President.
Duties include coordinating and executing pre-meeting arrangements, creating meeting agendas, tracking meeting follow-up items for the President, and recording and preparing meeting minutes.
Duties may also include event planning, coordination with the Special Events Team, Commencement Team, and monitoring financial planning for events.
Key Responsabilities Serves as member of University Committees on behalf of the Office of the President. Provide support, as directed, to all work groups and committees that are led or appointed by the WesternU President.

Expected Pay Scale Minimum $75,000.00 Maximum $95,000.00
