Position Summary
The Manager - Circulation and Access will be responsible for leading and coordinating the activities of the Law Library Circulation Department.
This individual will work with University Libraries to ensure an appropriate resolution is found to any issues related to the circulation of materials while also ensuring status and availability of materials and resources.
The manager will supervises staff, managing recruitment, training, performance, scheduling, and attendance-related activities.
Responsibilities
- Circulation and Course Reserves :
- Leads and coordinates the activities of the Law Library Circulation Department and works with University Libraries to resolve any issues related to the circulation of materials.
- Also coordinates with other Law Library departments on any projects related to circulation status and availability of materials and resources.
- Determines, implements, and reviews circulation policies and procedures, and documents them as needed.
- Manages the workflow of the Circulation module of the library's integrated library system (ILS).
- Works with Law Library Technology staff to identify problems and optimize the use of the ILS and trains staff on new functions and procedures.
- Manages Course Reserves requests and coordinates processing of print Course Reserves materials. Generates and reports statistics related to circulation activities.
- Circulation Staff Management :
- Supervises 5 Circulation staff members (Library Assistants), managing all recruitment, training, performance, supervision, scheduling, and attendance-related activities.
- Liaises with Columbia University Libraries Human Resources about employment paperwork and payroll.
- Supervises 4-5 student General Assistants (GA) per semester, including recruiting, training, and scheduling.
- Liaises with Columbia Law School Human Resources about employment paperwork and payroll.
- Also responsible for any disciplinary concerns with GAs including terminations.
- Access Services :
- Acts as an initial point of contact for access inquiries / requests from unaffiliated individuals seeking to visit the Law Library and / or use materials.
- Maintains an approved access list identifying any special circumstances surrounding access.
- Supports development, implementation, and documentation of access policies that maximize the overall efficiency and function of the Law Library.
- Facilities Coordination :
- Acts as Law Library liaison to Columbia University Facilities and to Columbia Law School Building Services & Operations to address all facilities issues related to the Law Library, including those related to HVAC, entry & exit gates, lights, and elevators.
- Other Duties : Performs related duties & responsibilities as assigned / requested by the Head of Public Services or Director of the Law Library.
Minimum Qualifications
- Bachelor's degree and 2 years' relevant experience, or an equivalent combination of education and experience
- Prior supervisory and relevant library experience.
