Job Description :
The Annual Giving Coordinator will provide oversight of all functions related to UF Advancement's Annual Giving office operations and business processes.
Reporting to the Executive Director of Annual Giving, this position will be responsible for fiscal management, Annual Giving campaigns and programs project management, management of student employees, and serve as the liaison for vendor relations.
The incumbent will provide administrative support for annual giving team leadership. Additionally, the role requires working knowledge and understanding of policies and procedures for interaction with alumni, governing UF Advancement, and the Office of Annual Giving employees.
Fiscal Management & Operations
- Prepare and track all disbursements and uses information for billing units, budgeting purposes, and working with vendors.
- Prepare expense vouchers.
- Manage annual giving budget spreadsheet by inputting expenses as they occur.
- Prepare monthly and year-end financial and budget expense reports.
- Manage contract renewals and negotiations with vendors.
- General office management, including managing inventory of premiums and supplies and equipment evaluation and leasing.
- Prepare and maintain operations documents, office procedures, department policies, and reports.
- Manage weekly Annual Giving Team meeting needs, preparing agendas, and taking and disbursing meeting notes.
- Maintain Annual Giving Team calendar.
Annual Giving Department Support
- Prepare reports as requested ensuring accuracy of data and clarity of presentation.
- Serve as liaison to other UF Advancement offices, including central staff and unit-based development staff, to effectively manage campaign calendars.
- Maintain yearly production calendar for Annual Giving campaigns and projects.
- Assist with project management by creating assignments, tracking progress, resolving issues, and attending Annual Giving project managers meetings to support project needs.
- Maintain Annual Giving project management and tracking program.
- Act as liaison between various offices and departments of the University, coordinating work and sharing appropriate information.
- Provide administrative support to the Director of Annual Giving Campaigns, the Director of Annual Giving Programs and the Annual Giving Data Manager.
- Support direct marketing project execution such as fulfillment coordination and pulling / compiling suppressions for direct marketing solicitations.
Annual Giving Stewardship
- Manage and execute weekly Annual Giving stewardship process, including data preparation, formatting, printing and mail preparation.
- Enhance stewardship practices through identifying efficiencies within procedures and processes.
Management of Student Employees
- Responsible for recruitment and overseeing hiring of Annual Giving student employees.
- Responsible for managing student employees including, but not limited to making project assignments and management, onboarding, training, certifying time and attendance, and any necessary performance evaluations.
- Coordinate the proper allocation of student employee support for Annual Giving team members and projects.
Expected Salary :

Minimum Requirements :
Bachelor's degree or an equivalent combination of education and experience.

- Working knowledge in these areas : Windows, Microsoft Word, Microsoft Excel, Microsoft Access, internet browsers, preferably Internet Explorer, E-mail.
Working knowledge of a donor database, contact management and tracking system.
