Overview of the Position : The Administrative Assistant is responsible for supporting all administrative functions related to export licensing, ensuring efficient operation of the office, and assisting with various administrative tasks to support the mission of the Navy customer.
Responsibilities :
- Support newly assigned personnel with database access registration, organizing desk reference materials, and coordinating system access.
- Provide front desk reception services, coordinate visitor access, and maintain administrative records.
- Review correspondence and documents for signature or coordination, ensuring conformance with style guides, regulations, and policies.
- Facilitate internal directorate communication and assist in composing official correspondence.
- Respond to administrative and logistical support requests, including scheduling conference rooms, obtaining administrative products, and preparing official correspondence.
- Support the planning, scheduling, and administrative preparation for meetings, symposiums, conferences, and related engagements or travel.
- Process and distribute incoming and outgoing mail in coordination with the Administration division.
- Assemble and track action memos and information memos through to signature.
- Provide occasional support for processing foreign visit requests through the OSD Foreign Visits System.
Skills and Abilities :
- Strong organizational and administrative skills.
- Excellent written and oral communication skills.
- Ability to review documentation and ensure compliance with published standards.
- Effective time management and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and email communication tools.
- Ability to work collaboratively with various stakeholders and provide exceptional customer service.
Required Qualifications :
- High school graduate.
- Experience in administrative support, office management, or a related area.
- Strong attention to detail in document preparation.
- Excellent interpersonal and communication skills.
- Ability to handle multiple tasks and prioritize effectively.
- SECRET security clearance.
- US Citizenship is required, and all other eligible parties can apply.
