Billing Specialist I

Overview

Primary contact and responsible for all for project / job assignments and all customer invoicing. Conducts job cost and margin analysis and reports as it pertains to billing.

Major Areas of Responsibilities

Job Number Assignments Ensure all pertinent and required information is complete for job number assignment; run credit status (D&B reports), new client application forms, deposits, PO and signatures.

Manages job number assignments.

Billing Prepares invoicing packages. Tracks contract documents, change orders, completion, costs, margins, parts analysis to ensure complete and accurate billing of various contract types.

Includes all back up documentation. Tracks all open jobs for the ability to progress invoice at the appropriate milestones.

Provides reports, PO and billing tracking, including follow-up on receivables if needed. Prepares and maintains tracking of split billing.

Generates, maintains and tracks invoices through the client’s payment approval process. Create Contract Value True ups as needed.

• Analysis and computation of job / project margin and profitability.
• Communicates and interacts with sales, estimation, customers, operations, PMO, and field employees to ensure billing information is accurate and complete.

Attends project kick off meetings, or client facing meetings to represent the invoicing process as required. Resolves any issues with invoicing disputes.

• Reports generates and analyzes reports as need.
• Travel Coordinator backup is the back up travel coordinator for projects, jobs, and other Vector personnel.

Required Qualifications

BA / BS Degree. MS Office experience. Strong math and analytical skills. Strong written and verbal communication skills.

Thoroughness and attention to details. Ability to successfully communicate issues and work toward resolution with various parties.

• 1+ year billing and invoicing experience.
• Strong MS Excel abilities and skills.

Preferred Qualifications

• 2+ years billing and invoicing experience, preferably in the same or similar industry.
• Experience with : FileMaker Pro.

Compensation Range Starting at : $20.00 per hour (Full-time).

Working Conditions

The employee will spend their time in an office environment with a quiet to moderate noise level. Occasional travel to client job start meetings and / or billing review meetings may be required.

Physical Requirements

While performing the duties of this job, the employee is regularly required to sit for long periods of time; talk or hear;

perform fine motor, hand and finger skills in the use of a keyboard, telephone, or writing. Specific vision abilities include close vision, distance vision, depth perception and the ability to adjust focus.

The position may require some lifting and carrying of 25 pounds or less.
