Position Narrative (Overview)

SageSure is seeking an experienced, people-focused, detail-oriented Manager, Facility Operations to assist the department head with hands-on management and operations of eight national facilities.

Additionally, you'll display a proven ability to develop and maintain an environment of trust, diversity, and inclusion within your team.

This role is critical to SageSure’s hybrid work model and will be critical in assisting the execution of their facility strategy.

Location : This position will work a hybrid schedule (2-3 days / week) from our office in Chicago, IL.

What you’ll be doing :

  • Manage the on-the-ground relationship with all facilities related vendors, landlords, superintendents, cleaning companies & other critical local contractors.
  • Hire, train and manage the development of a team of 5-7 Office Operations associates located throughout the country.
  • Manage facility equipment, replenishment of supplies and other consumables.
  • Control activities like parking allocation, seating assignments, building security, etc.
  • Plan and coordinate all installations (telecom, security, furniture) and refurbishments.
  • Adhere to the department’s annual company-led (CAP) initiatives and deliver weekly updates for these initiatives to the department head.
  • Manage and monitor all incoming & outgoing mail and critical shipments in all facilities.
  • Responsible for administering and enforcing facility security systems and access protocols across all facilities and reporting monthly to department head.
  • Work closely with the department’s leadership in achieving key initiatives as well as assisting other department verticals with ad-hoc support.
  • Assist the department leadership as needed in preparing for multiple monthly, quarterly, and annual meetings with C-level executives.
  • Work with department leadership to identify and execute on-the-ground facility projects.
  • Maintain facility cleanliness, security, and presentation to support daily and special event operations.
  • Manage facility-based business continuity process.
  • Manage and maintain Facility Operations documentation library.

We’re looking for someone who has :

  • 5+ years proven experience in a facilities management position.
  • Bachelor's degree in facilities management, business administration, or related field.
  • Experience managing diverse teams across the country.
  • Extremely strong verbal and written communication skills.
  • Strong Excel, Word, and PowerPoint skills (Intermediate at a minimum).
  • Experience with people management.
  • Experience managing up, down, and around cross departmentally.
  • Experience providing detailed reporting and analysis.
  • A strong orientation to continuous improvement.

Highly preferred candidates will also have :

  • SmartSheet expertise and experience.
  • Highly skilled in executing national policies and procedures at a local level.
  • Highly creative and adaptive, problem-solving skills.
