Job Summary :

As the Front Desk Receptionist for the Lancaster Chamber, you'll be the friendly face and voice that our building affiliates, members, visitors, and callers rely on, while working with the Facilities team to ensure smooth operations and a welcoming environment at 115 East King Street.

If you're skilled in data entry, have a talent for staying organized and have a desire to SERVE, CONNECT, SOLVE, and LEAD, this role is for you!

Essential Functions :

Front Desk Duties :

  • Be the first point of contact : answer phones, greet visitors, accept mail, and process Certificates of Origin.
  • Manage meeting rooms : respond to meeting room requests, complete the rental process, and coordinate resources for day-of meeting needs.
  • Oversee the use of technical supplies (HDMI cables, laptops, meeting owls, and the Polycom system)
  • Assist callers with program and event registration using the Chamber's database

Operations Support :

  • Order and maintain office supply inventory
  • Assist with set up and tear down of meeting rooms for those requiring immediate turnover
  • Coordinate day-of materials (e.g. name tags, banners, literature, etc.) for Programs & Events team
  • Ensure data integrity : assist with data entry in the Chamber's database system
  • Support the Director of HR & Facilities Operations with tasks within the scope of the role

Additional Duties :

  • Maintain confidentiality of sensitive information.
  • Self-motivated and capable of working efficiently without direct supervision
  • Participate in Chamber events as required.

Position Requirements :

Education, Training, or Certification :

At least two years of experience in progressive customer service roles or relevant experience demonstrating capability to fulfill position responsibilities.

Experience & Skills :

  • Exceptional oral and written communication skills.
  • Advanced knowledge and experience with Microsoft Office Suite
  • Keen attention to detail and commitment to accuracy.
  • Excellent time management and customer service skills.
  • Strong problem-solving skills
  • Experience with multi-line phone system and directing calls helpful, but not required
  • Fluency in comprehension and spoken Spanish helpful, but not required
  • Ability to push, pull, lift / carry objects up to 25 lbs.

Interactions :

  • Collaborate with all staff members of the Lancaster Chamber
  • Engage with building affiliates, Chamber members, committees, volunteer groups, community organizations, leaders, and government officials.
