Leadership Team Executive Assistant / Office Manager - Dallas, TX

Position Overview : Unisys is seeking a highly skilled and polished Leadership Team Executive Admin / Office Manager to join our team in Dallas, Texas.
This role is integral to the smooth operation of our Dallas office, providing high-level administrative support to our Leadership Team and playing a crucial role in the transition to a centralized administrative structure.
The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to manage time and priorities effectively in a dynamic environment.
Responsibilities :
Dallas Reception and Reservations Support (25%) :
- Act as the primary point of contact for visitors, ensuring a professional and welcoming reception experience.
- Manage meeting room reservations and coordinate logistics, including setting up conference rooms and managing audio-visual equipment.
- Oversee the scheduling and coordination of on-site meetings, including booking spaces, ordering food, and situating visitors for a seamless experience.
- Handle general office duties, such as mail distribution and supply management, to ensure efficient daily operations.
Dallas Office Manager (25%) :
- Oversee the daily operations of the Dallas office, ensuring all office areas are well-maintained and organized.
- Manage relationships with vendors and service providers, ensuring timely and quality service delivery.
- Organize and coordinate office events and meetings, including catering arrangements and visitor accommodations.
- Ensure compliance with company policies and health and safety regulations within the office environment.
Centralized Administrative Functions (30%) :
- Assist in developing and implementing a centralized administrative structure across Unisys, including managing a centralized corporate and leadership team calendar.
- Take very detailed notes during meetings, ensuring all important points are captured, enabling the ability to retrace discussions when needed.
- Manage expense reports and provide support with corporate expense management processes.
- Ensure time management across leadership meetings, keeping everyone on schedule, cutting off discussions when necessary, and smoothly transitioning to the next agenda item.
- Serve as a backup for other Executive Assistants, providing coverage and support as needed, while maintaining a polished and professional demeanor with leadership teams.
Leadership Team Administrative Support (20%) :
- Provide comprehensive administrative support to the Corporate Leadership Program, including managing complex calendars, coordinating meetings, and arranging travel.
- Prepare and manage documents, presentations, and reports, ensuring accuracy and timely delivery.
- Take detailed meeting minutes, capturing key discussions, decisions, and action items, and distribute them to relevant stakeholders.
- Facilitate effective communication within the Leadership Team and between departments, ensuring timely follow-up on all action items.
You will be successful in this role if you have :
- Education : Bachelor's degree in Business Administration, Communications, or a related field is preferred.
- Experience : Minimum of 5 years of experience in an executive administrative or office management role in a corporate environment.
Proven experience in supporting senior leadership teams.
Required Skills :
- Organizational Skills : Exceptional ability to manage multiple tasks, prioritize effectively, and maintain attention to detail in a fast-paced environment.
- Time Management : Proven track record of managing time efficiently, ensuring that meetings stay on schedule and transitions between topics are handled smoothly.
- Communication : Excellent verbal and written communication skills, with the ability to interact professionally with senior leadership.
- Note-Taking : Highly skilled in taking detailed and accurate meeting minutes, with the ability to capture essential points and retrace discussions.
- Technology Proficiency : Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with expense management and calendar management tools.
- Problem-Solving : Strong problem-solving skills with the ability to anticipate needs and proactively address challenges.
- Professionalism : Polished and professional demeanor, with the ability to represent Unisys effectively at all levels of the organization.
