Description
We are seeking a Project Administrator / Coordinator for our Boston area office in Braintree, MA! The Project Administrator / Coordinator will be responsible to provide administrative support particularly as it relates to liaison work between internal project teams, clients, visitors, and others outside of the Company work environment.
Essential Functions :
- Supports the Director, New England Region, Project Managers and other senior staff throughout the Company in the drafting and issuance of the following : Assists with Project proposals Assists with Project documentation Assists with Project schedules (milestones and deliverables) Assists with Plans Assists with Reports Assists with Meeting Notes Assists with Quality Control tracking and internal follow up Assists with Day-to-day project tasks, as needed Assists with Client communications, with direction from the Design Manager
- Effectively and accurately communicates relevant project information internally to the Arora Project Team(s).
- Supports the office with the production of documents.
- Responsible for the preparation and accuracy of all incoming and outgoing mailings including but not limited to : preparing private delivery service and USPS packaging / postage, ensuring mailing deadlines are met and ensuring mailing logs are accurately maintained.
- Maintains correct inventories of office supplies including safety tools and equipment.
- Maintains and appropriately distributes company Contact sheet.
- When directed, orders, sets-up and cleans up food / beverages for guests, or meetings.
- Maintains orderliness of common areas including but not limited to kitchen areas, conference rooms, lobbies, etc.
Qualifications
Education / Experience Minimum :
- Background in A / E or Construction field.
- AA or higher degree preferred.
- 3 years progressive responsibility with program assistant or office management duties.
Needed Skills :
- Background in A / E industry preferred.
- Fluency in MS Office Suite : WORD; EXCEL, etc.
- Experience with Newforma and Deltek Vision preferred.
- Ability to maintain confidentiality.
- Excellent communications, particularly phone skills, written and spoken English.
- Ability to initiate communications to all levels of audience.
- Ability to work as a team member.
- Ability to create and maintain professional working relationships with colleagues, vendors and visors.
- Excellent command of the English language spoken and written.
- Ability to obtain and maintain appropriate security status.
- Holds a legal right to work in US.
