Key Responsibilities
Payroll Management :
- Oversee and ensure accurate and timely payroll processing for salary employees, including temporary personnel.
- Maintain compliance with KIRCHHOFF Automotive policies regarding payroll.
Process Improvement :
Identify areas for improvement in payroll processes and lead the implementation of enhanced payroll systems.
System Maintenance :
- Manage payroll system updates related to new hires, terminations, rate changes, and employee absences (e.g., leaves of absence, short-term disabilities).
- Ensure accurate maintenance of employee records and payroll data.
Third-Party Inquiries :
Respond to inquiries related to employee garnishments, employment verification, and government-related issues.
Audit Support :
Assist with internal and external audits by documenting issues and overseeing resolution plans.
Expense Management :
Process expense payments and prepare expense reports as required.
Employee Support :
- Address employee pay inquiries in a timely manner.
- Generate customized payroll reports and codes as needed by different plants.
Financial Assistance :
- Collaborate with the Controller on year-end budgeting, forecasting, and month-end processes.
- Manage annual merit increases and bonus processing.
- Prepare weekly and monthly ad-hoc reports as requested by management.
System Security and Training :
- Oversee payroll system security access and provide training for new users.
- Update earning and deductible rates annually in compliance with federal and state regulations.
Journal Entries and Reconciliation :
Prepare payroll journal entries and perform reconciliations promptly, entering data into SAP.
Tax Reconciliation :
Support quarterly and annual tax reconciliation within an outsourced tax remittance vendor environment, including managing state unemployment rates.
Confidentiality and Compliance :
- Uphold confidentiality and adhere to legal and ethical standards in all payroll matters.
- Coordinate with Human Resources on employee-related pay issues as necessary.
Work Environment Contribution :
Promote a safe and comfortable work environment, ensuring adherence to the principles of the Occupational Health and Safety Act and the 5S discipline (simplify, separate, sanitize, standardize, and support).
Qualifications
- Work Experience :
- A minimum of 5 years of experience in payroll management or a similar role.
- Education :
- Bachelor’s degree in Accounting , Finance , Business Administration , or a related field.
- Skills :
- Proficiency in payroll software and Microsoft Office Suite , especially Excel .
- Strong interpersonal skills to effectively engage with employees at all levels.
- Excellent problem-solving and decision-making abilities.
- Detail-oriented and committed to confidentiality, diplomacy, and timeliness.
- Comfortable with technology and computer applications.
