ABOUT THE JOB
OneStream is looking for an Office Administrator to join the Facilities team. The Office Administrator is value-driven and focused on delivering an amazing experience for our employees and guests.
The Office Administrator is responsible for supporting office operations for multiple offices in a fast-paced environment with the highest standards of excellence.
You will be the face of the office and must have great communication skills and expert customer service skills, with the flexibility to multitask and work on varying-sized projects.
This role is critical in promoting OneStream culture and creates and elevates programs, and amenities that make the office a great work experience and a world-class workspace.
PRIMARY DUTIES AND RESPONSIBILITIES
- Support general office operations and maintenance within multiple OneStream offices
- Support all aspects of the office and building, including building security (letting people in and out, key fob assignments, inventory, access control, intrusion alarm, security camera administration, and weekly compliance reporting.
new staff location assignments, hoteling software, parking arrangements, furniture assets in partnership with Office Manager and Facilities Coordinator, storage facility, support Office Manager and Facilities Coordinator with building management
- Manage all incoming communications, scanning / pick up / sorting / delivery / tracking of incoming and outgoing mail / packages
- Procurement and management of office snacks, beverages, kitchen, janitorial, equipment & office supplies, and stock as needed
- Coordinate and host onsite meetings, company / engagement events, and training class attendees, including meeting room setup / take down, meals, and offsite meetings as required in partnership with the Office Manager
- Manage office calendars, workspaces, and conference room bookings in partnership with the Office Manager
- Timely submission of work request tickets through ServiceNow and follow-up through work completion in partnership with the Office Manager
- Support Office Manager with ad hoc projects such as overseeing office moves and openings, supporting new offices, internal software application administration (SharePoint, ServiceNow, visitor registration, 360 Updates), and managing workplace-related partnerships
- Support and uphold Facility Policies (e.g., visitor policy, compliance, safety guidelines, and local municipality requirements)
- Support the office budgets. Implement cost reductions for all offices in partnership with the Office Manager and Workplace Experience Manager
- Timely completion of building access requests, offboarding tickets, monthly checklists, etc. in partnership with the Office Manager and Facilities Coordinator
- Support creation and distribution of office communications (internal emails, newsletters, event invites, etc.)
- Support and execute the COVID office process, adhering to all local conditions, and the ongoing application of COVID measures in partnership with the Facilities Manager
- Support and promote our sustainability and green initiatives
- Open availability for emergencies, answering alarm notifications, etc.
- Manage and support miscellaneous ad hoc duties and requirements as needed
QUALITIES OF A SUCCESSFUL CANDIDATE
REQUIRED EDUCATION AND EXPERIENCE
- 2+ proven years of experience in an Office Receptionist or Manager capacity, or equivalent
- Experience interacting and coordinating with external vendors, senior executives, and other company stakeholders
- Possess a great sense of ownership and ability to make independent decisions
- Possess excellent listening and communication skills
- Have outstanding organization and time management skills
- Able to make critical decisions under time constraints with a full workload.
- Flexibility to adapt to changing business situations, comfortable working in a high-growth, fast-paced environment
- Creative, organized, and detail-oriented
- Able to lift up to 50 pounds
- Proficient in Microsoft Office Suite / Microsoft 365 Microsoft Office (Outlook, Word, PowerPoint); specifically, with Excel, SharePoint, and Teams
PREFERRED EDUCATION AND EXPERIENCE
College Degree preferred
