Job Description
WHAT YOU WILL ACCOMPLISH
Napa Institute
- Daily support for TRB
- For Napa Institute Matters
- Work closely with Event Manager, Executive Director and TRB to assist in planning and execution of events from the initial thought to the completion of the event.
- Preserve the company's brand by using creativity and expertise to oversee all details of the events.
- Use available programs and systems to accomplish tasks in an organized fashion and share information with other team members as necessary.
- A problem-solver and "utility" player for Napa Institute, to handle special projects and help keep the team moving tasks forward.
- Execute events according to approved budgets and keep track of expenses on an event-by-event basis.
- Assist in tracking invoicing & liturgical & other tasks as needed. Take lead role for liturgical items in absence of full-time Sacristan.
- Travel and assist with any issues on experience
- Be on call for any attendee needs
- Napa Institute Experiences
- Assist Experiences team with details of Experiences, as needed.
Clergy Hospitality / Chapel (in absence of full-time Sacristan)
- Run the program for the priests
- 3 hotels available for them to book
- Track reservations and letters of good standing
- Work with the hotels to make sure reservations are set
- Assure all chapels are stocked and work with sacristans
Napa Institute Corporate Governance
- Assist Executive Director with :
- Listing NI committees and boards
- Scheduling meetings
- Creating agendas for meetings
- Taking minutes at meetings
Napa Institute Concierge
- Attend Napa Institute Experiences, Conferences, and other Functions as a Napa Representative and Event Assistant.
- Be the friendly helpful face of Napa to assist guests with their needs up to and during an event.
- Help Registrar with tech-related requests, such as helping people book online or register through Cvent
- Travel with TRB for NI visits as needed
- Assist in scheduling NI-related meetings as needed
Family Office
- Family Office
- Manage quarterly office meetings with Saraa Hazim
- Take notes in meetings
Be available for family's questions and needs
- Support for Steph Busch - when needed
- Support for Garrett and Betsy Busch - when needed
- Support for Kenzie Vath - when needed
- In person Conference support
- Napa Institute (Summer Conference, PE, Msgr Herron)
- PHG (Miscellaneous events)
- Assist Jenna Muise with Special Events for Napa Institute, Personal, PHG
- Manage / work with other staff members on TRB personal events hosted at his home and offsite
Design invitations and send out to confirmed invitees
Confirm location of events
Establish and manage RSVP list
Partner with on-site event managers
Provide name tags and table tents
Confirm chef / catering and food & beverage selections
Set up Mass when needed at Glen Canyon or hotel (Create Mass Booklets, Confirm Priest)
- Manage TRB email
- Schedule Masses for TRB when not in the office
Foundation and Grant Relations
- Manage Donation requests
- Meetings / communication with development representatives from apostolates
- Write donation letters
- Work with Saraa to manage checks and letters for donations
- Schedule NIF board meetings
- Record minutes for board meetings
- Compile information and documents for board packets
- Track tax receipts for Greg
