WHAT YOU'LL DO

The AVI-SPL Onsite Event Production manager is responsible for planning and delivering high quality large-scale and smaller events, ensuring alignment with organizational goals and objectives.

This role will ensure projects achieve quality, scope, budget, safety and customer satisfaction requirements with the end goals of delivering a world-class event experience.

Day-To-Day Responsibilities :

  • Lead the strategic planning process for both large-scale and smaller events, ensuring alignment with organizational goals and objectives.
  • Develop comprehensive event timelines, budgets, and resource plans to ensure successful execution.
  • Coordinate with internal and external stakeholders and external vendors to venue logistics, audiovisual equipment, and other necessary services.
  • Manage, maintain, and update the event software, documents, and timelines.
  • Be the point person for troubleshooting and ensuring the event is executed as planned.
  • Provide End User Training, Troubleshooting, Opening Tickets and Assigning them to the correct teams, escalating issue when needed, complete management of an issue until resolution.
  • Conduct post-event evaluations to assess the success of each event and identify areas for improvement.
  • Stay informed about industry trends and best practices in event management, incorporating new ideas and innovations into our events.
  • Delegate tasks and responsibilities effectively, ensuring all team members understand their roles in the event planning process.
  • Work flexible schedule as needed.
  • Other duties as assigned.

Items to Consider :

  • AVI-SPL reserves the right to alter work hours and work location as necessary. Work hours may vary based on event requirements and may include occasional travel to various locations in support of the client.
  • This position will generally work in a professional office environment as well as on client sites.

WHAT WE'RE LOOKING FOR

Must-Haves :

  • 3+ years of experience in event planning and meeting management, ideally in a corporate environment.
  • Highly detail oriented and self-motivated with excellent written, verbal, and interpersonal skills for all organizational levels.
  • Strong leadership and team management skills, with the ability to motivate and inspire others.
  • Excellent organizational and project management abilities, with a keen attention to detail.
  • Exceptional communication and interpersonal skills, with the ability to build relationships with a diverse range of stakeholders within the meeting planning process.
  • Ability to work effectively under pressure and manage multiple priorities simultaneously.
  • Exceptional time management, organizational and prioritization skills required for handling multiple events simultaneously.
  • Ability to negotiate conflict and maintain constructive working relationships with people at all levels of the organization.
  • Capable of developing a high-quality event plan leveraging project framework best practices, tools, and templates
  • Ability to remain calm under pressure and always maintain a customer-first mindset.
  • Experience with Google Products and Microsoft Office Suite.
  • Experience with Smartsheets
  • Excellent problem solving & troubleshooting skills.
  • Good understanding of event technologies.
  • Passion for events and exceptional Customer first mind-set.
  • Willingness to learn AV technology related to company events.
  • Flexibility to work evenings, weekends, and occasional travel as needed to support company-wide events.

  • Experience with ServiceNow
  • Experience with video conferencing technology (Zoom, Poly)
  • Experience with video streaming and encoding (platforms and hardware)
