Job Summary
Under direct supervision of the Head of Business and Operations and supporting the Business and Administration Associate, the Library Administrative Assistant provides administrative support as part of the Library Business and Operations department.
Job Duties
- Prepare payment requisitions, process invoices for check payment by Accounts Payable, and pay invoices using PCard (credit card).
- Provide administrative support, including meeting scheduling, minute taking, calendar maintenance, and responding to inquiries.
- Provide logistical and hands-on support for library meetings, conferences, and public events, including scheduling of facilities, catering, audio visual, and other vendor services.
- Coordinate travel for University Librarian and library guests. Process expense reports for University Librarian and Head of Business and Operations.
- Support and backup Business and Administration Associate and Library Facilities Coordinator as needed.
- Order, organize, maintain, and keep inventory of office supplies.
- Data entry, tracking of expenditures, and document digitization.
- Prepare cash and credit card receipts and check deposits for processing by Finance.
