Executive Virtual Assistant - Coaching / Consulting Industry

Key Responsibilities :

  • Proactive Engagement : Anticipate needs and act independently to drive projects forward without waiting for instructions.
  • Calendar and Appointment Management : Maintain and optimize executive schedules, ensuring efficient time management.
  • Communication Management : Draft, review, and manage internal and external communications to maintain high engagement levels.
  • Project Coordination : Oversee and coordinate multiple projects simultaneously, adapting to changing priorities.
  • Create and Optimize Processes : Develop and implement effective workflows to enhance operational efficiency.
  • Client and Stakeholder Management : Build strong relationships with clients, partners, and stakeholders to drive engagement and satisfaction.
  • Research and Analysis : Conduct thorough research and make recommendations to stay ahead of industry trends, tools, and practices.
  • Event Planning and Coordination : Organize key industry events, site visits, and conferences to ensure seamless execution.
  • Travel Arrangements : Coordinate all aspects of travel, including booking flights, hotels, and transportation.
  • Ad Hoc Support : Provide flexible support on various administrative and operational tasks to meet dynamic needs.

Additional General Qualifications :

  • Bachelor's degree preferred.
  • Minimum 5+ years of administrative experience, with 2+ years supporting senior executives.
  • Must be willing to work flexible hours outside of standard business hours as needed
  • Must be willing to travel as needed
  • Proven track record of managing multiple projects and initiatives with minimal supervision.
  • Reliable home office setup : Mac or PC with a dual-core processor, 8GB RAM, webcam, and the latest version of MS Office.
  • High-speed internet and a smartphone with email capabilities.
  • Designated, quiet workspace to maintain professionalism.

Additional Details :

  • Contract Type : 1099 contractor role.
  • Compensation : $30-$35 per hour, based on experience and skill set. Contractors are paid a fixed rate once per month based on contracted hours.
  • Location Restrictions : Must reside in the U.S. (applications not accepted from California, Montana, New Jersey, New York, or Pennsylvania).
  • Work Requirements : Must be available during business hours; this role cannot be paired with another full-time job.
