Compensation : $21.00-26.00 per hour

Overview
The Administrative Assistant is responsible for building and servicing a customer base through service, and collection of account receivables.
This individual will work closely with sales representatives and managers to determine customer requirements, availability of products, and evaluate pricing;
and resolve customer issues relating to materials and pricing to ensure customer satisfaction and deliver high quality products.
Essential Functions :

- Make and receive calls to / from customers dealing with billing questions.
- Make and receive calls to / from scale house operators regarding project setup, getting haul rates, notifying them of new projects, and coordinating deliveries with customers.
- Make and receive call to / from customers regarding projects, quotes, pricing, and orders.
- Work with outside sales reps to assist in quotes, orders, pricing, and deliveries.
- Work with inside / outside sales reps to keep backlog up to date on ongoing projects as well as upcoming projects.
- Research detailed or old customer account receivables billing / pricing issues and follow up to ensure billing issues are being resolved.
- Work with customers and the Summit Finance Group on invoice corrections.
- Prepare various monthly reports for sales team detailing the following : total volume, top customers, top sales products, ASP, revenue, and variance to budget for all items.
- Support the scale house as an attendant when needed.
- Maintain and update customer database.
- Provide administrative assistance to the sales team.
- Aide in credit card sales transactions.
- Research, fill out, and return lien waivers.
- Review daily ticket edit to minimize quote and invoicing errors.
- Maintain current knowledge related to work activities.
- Distribute incoming mail.
- Discuss account status or activity with customers or patrons.
- Refer customers to appropriate personnel.
- Operate computers or computerized office equipment.
- Collect deposits, payments or fees.
- Perform additional duties as assigned by management.
Qualifications :
- High School Graduate or General Education Degree (GED)
- 1+ year related experience
- Work effectively as a member of a team with the ability to multi-task
- Detail-oriented, thorough, and accurate
- Effectively communicate with team members
- Proficiency in MS Office Suite (JWS, Viewpoint, MS Dynamics, and other software packages)
- Drive for results while maintaining a customer-oriented approach
Additional Requirements
Minimal travel requited to meeting, scale houses, conferences, and training.
