Job Description :

The Executive Assistant to the Vice President for Human Resources and Campus Operations at Olympic College plays a crucial role in providing administrative support, representing the Vice President in various capacities, and contributing to the efficient operation of the department.

The ideal candidate will possess strong organizational skills, exceptional attention to detail, and the ability to handle multiple tasks with discretion and professionalism.

Essential Functions Administrative Support :

  • Manage the Vice President's calendar, appointments, and meetings, ensuring effective time management and coordination.
  • Prepare and organize materials for meetings, presentations, and reports with accuracy and attention to detail.
  • Handle correspondence, emails, and phone calls on behalf of the Vice President in a professional and timely manner.
  • Assist in travel arrangements and accommodations as required.

Representational Duties :

  • Represent the Vice President in meetings, conferences, and other events, conveying their views and decisions with clarity and professionalism.
  • Act with delegated authority in specific situations, making decisions and communicating directives aligned with the Vice President's objectives.
  • Foster positive relationships with internal and external stakeholders, facilitating effective communication and collaboration.

Employee Relations Support :

  • Assist in managing employee relations matters, including conflict resolution, performance management, and policy interpretation.
  • Collaborate with Human Resources team members to ensure compliance with organizational policies and procedures.
  • Maintain confidentiality and professionalism when handling sensitive employee information.

Special Projects and Initiatives :

  • Support the Vice President in special projects, initiatives, and strategic planning efforts to achieve departmental goals.
  • Conduct research, compile data, and prepare reports to facilitate decision-making processes.
  • Track trends and data related to Diversity, Equity, and Inclusion (DEI) initiatives and HR practices, providing insights and recommendations.

Budget Management and Additional Support :

  • Assist in managing, tracking, and reporting budgets across HR & Campus Operations functional areas.
  • Provide support to the Chief Facilities Officer, Deputy Director of HR, and Deputy Director of Campus Safety & Security as needed.

Qualifications

Minimum Qualifications

  • High school diploma or equivalent.
  • Minimum of 3 years of relevant experience in an administrative support role, preferably in a higher education or similar setting.
  • Proficiency in Microsoft Office suite and other relevant software applications.
  • Strong communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
  • Ability to prioritize tasks, manage multiple deadlines and work independently with minimal supervision.
  • Commitment to maintaining confidentiality and handling sensitive information with discretion and integrity.
  • Demonstrated ability to adapt to changing priorities and work in a fast-paced environment.

Desired Qualifications

  • Bachelor's degree in Business Administration, Human Resources, or a related field.
  • Experience in human resources, employee relations, or related areas.
  • Knowledge of human resources principles and practices.
  • Experience managing budgets or financial data.
  • Familiarity with Diversity, Equity, and Inclusion (DEI) initiatives and best practices.
  • Experience providing support to senior executives or leadership teams.
  • Additional certifications or training in relevant areas such as project management or office administration.

Additional Information

Terms of Employment

This is a Full-time exempt position scheduled to work Monday through Friday. The salary for this position is $67,725 - $73,752 annually, which includes a generous benefits package.
