Position Title : Senior Executive Assistant

Company : Middle East Institute

Status : Full-time, exempt

Location : On-Site Washington, DC

Salary range : $68,000 - $75,000

Position Overview :

The Senior Executive Assistant is crucial in supporting internal operations and strategic initiatives. They will provide high-level administrative support to MEI’s executive team, ensuring smooth and efficient operations.

This pivotal role requires a proactive individual with exceptional communication, organizational skills, discretion, and the ability to manage multiple priorities effectively.

Discretion and confidentiality are key aspects of this position.

Responsibilities include, but are not limited to :

  • Provide executive support with administrative tasks, including adeptly managing financial forms and contracts and organizing filing systems.
  • Assist executives with special projects, research, and presentations. Coordinate with other departments or team members as needed.
  • Foster and maintain robust relationships with stakeholders, managing RSVPs and preparing materials for meetings and presentations.
  • Prepare agendas, coordinate logistics, and take minutes for meetings. Follow up on action items and ensure timely completion of tasks.
  • Manage schedules, appointments, and travel arrangements for executives. Handle correspondence, emails, phone calls, and other forms of communication on behalf of the executives.
  • Collaborate with other administrative staff and departments to streamline workflows and improve cross-functional communication.
  • Handle confidential information with discretion and professionalism, maintaining a high level of confidentiality at all times.
  • Support office and people operations with a focus on fostering a positive work environment.
  • Anticipate needs and proactively provide support to executives, including handling ad-hoc requests and other duties as assigned.

Qualifications :

  • Minimum of a Bachelor’s Degree in Business, Political Science, Communications, Public Relations or other relevant field and work experience in a similar field.
  • Minimum of 3-5 years experience in an administrative role or similar role supporting C-level executives.
  • Exceptional organizational skills with the ability to prioritize tasks and manage multiple projects and responsibilities simultaneously.
  • Demonstrated ability to maintain the highest level of confidentiality and handle sensitive information with discretion and integrity.
  • Strong command of modern technology (MS Office, Google Workspace, Calendly, Zoom etc.)
  • Flexibility and adaptability to changing priorities and fast-paced environments.
  • Strong attention to detail and accuracy in all work processes is essential.
  • Ability to work independently with minimal supervision while functioning effectively as part of a team.
  • Ability to interface well with all departments and represent executives in a highly professional manner.
  • Demonstrated ability to work autonomously, exercise sound judgment, and plan and execute tasks, including resource identification, data organization, and stakeholder communication.
