Job Summary : Are you passionate about making a difference in your community? MAHCS is looking for a fun, energetic, and detail-oriented Client Services Coordinator to join our Community Mental Health Center.
You will manage the intake process, coordinate referrals, maintain accurate records, and ensure effective communication with clients, therapists, and referral sources.

Key Responsibilities :
Referral Management :
- Process and manage referrals from various sources, including BBHC and ChildNet.
- Review, edit, and send monthly referral updates and reports to stakeholders.
- Communicate with referral sources and guardians to advise on the referral status.
Intake Coordination :
- Assist patients with admissions paperwork and verify health insurance coverage.
- Assign intakes to assessors and therapists promptly.
- Conduct annual intakes and ensure all necessary consent forms are completed.
- Update and maintain the waitlist spreadsheet, including TBOS, PSYCH, and TCM services.
- Follow up with clients and families every two weeks to confirm continued interest.
Customer Service :
- Field calls and emails from patients and referral sources with professionalism and empathy.
- Provide excellent customer service to diverse clients and stakeholders.
- Send out regular emails to counselors regarding unreachable parents.
- Reach out to school social workers (SW) and BBHC for funding requests.
- Email referral sources regarding the status of their referrals.
- Follow up with unresponsive staff to ensure all tasks are completed timely.
Reporting and Documentation :
- Compile and submit weekly census reports.
- Maintain accurate and up-to-date records on all active clients.
- Update and share monthly eligibility reports with the appropriate personnel.
- Ensure every client has a contact log, and update finalized intake details.
Discharges :
- Process discharges and temporary discontinuations, ensuring proper documentation.
- Communicate with referral sources and guardians about discharge details.
Collaboration and Support :
- Collaborate with administrative staff to ensure smooth operation.
- Provide support and updates to therapists and intake assessors as needed.
- Run necessary reports and ensure the accuracy of all information.
Qualifications :
- High School diploma or higher degree.
- 2 years experience as an Intake Coordinator or Client Services Coordinator.
- Proven experience in referral and intake coordination, preferably in a healthcare or social services setting.
- Strong organizational and time-management skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite, especially Excel.
- Ability to maintain confidentiality and handle sensitive information.
- Detail-oriented with a high level of accuracy in data entry and reporting.
- Bilingual in Spanish or Portuguese is a plus.
Preferred Qualifications :
- Familiarity with BBHC, ChildNet, and related processes.
- Experience with database management and electronic health records (EHR) systems.
- Superior organization skills and dedication to completing projects in a timely manner.
- Strong customer service skills with the ability to work with diverse people.
- Understanding of health insurance and mental health terminology.
- Ability to juggle multiple tasks in a fast-paced environment.
- Problem-solving skills.
- Fluency in other languages is beneficial.

Experience :
- Administrative Assistants & Receptionists : 1 year (Preferred)
- Experience working at behavioral health agency 1 year (Preferred)
- Customer service : 1 year (Preferred)
