Job Title : Field Service Coordinator

Department : Field Service

Summary : The Field Service Coordinator is responsible for coordinating the United Safety field service parts needed to execute our field service work orders on time and through completion.

The Field Service Coordinator will work closely with the Field Service Supervisor and use Syteline (SL) and Field Service Lightning (FSL) system to order and ship parts to meet team requirements.

This person will also work with customer service & engineering to obtain and review parts / part #’s to ensure accuracy prior to shipment.

Responsibilities : As the Field Service Coordinator, you will :

  • Schedule needed parts with Syteline orders and daily updates to team on part shipment status for all Field Service Representatives at United Safety.
  • Establish processes with both Field Service OEM Representatives & Field Service Technicians to manage part orders and updates with minimal e-mail traffic while ensuring 24 hour max response time tracking to confirmed closure.
  • Work with Purchasing, Engineering and Customer Service to assure on-time shipment of correct parts.
  • Provide RMA’s for returns when needed.
  • Help develop and improve process within first 90 days to utilize SalesForce tickets on Field Service OEM Representative items as well as part orders needed through Field Service Coordinator.
  • When necessary, prepare and part quotes for Field Service needs.
  • Support Field Service with back support on Field Service Lightning system and scheduling when needed.
  • Properly use and maintain equipment and materials for which the role has responsibility.
  • Follow environmental and safety regulations, and act in compliance with U.S. laws.
  • Adhere to all company policies and procedures.
  • Perform other duties, as assigned.

  • High School diploma required; additional education is strongly preferred (Business or Technical Associate Degree or equivalent experience).
  • 3+ years of experience in Scheduling, Field Service or Customer Service in a project oriented, manufacturing environment.
  • Proficient in computer software : MS Applications Word, Excel, and understanding of scheduling systems.
  • Exceptional written and oral communication skills, including accurate spelling, punctuation, and grammar for producing error-free letters, reports, and decision-making documents.

Demonstrates outstanding tact and diplomacy for effective customer service, conflict management, and relationship building with internal and external contacts.

  • Able to manage multiple and diverse projects including, analytical thinking, planning, prioritizing, problem solving, decision making and carrying out assigned projects with minimal supervision.
  • Able to perform in a fast-paced, team environment, while responding and adapting to change favorably and quickly.
  • Ability to think out of the box and work without excessive supervision.
