Job Summary
The Enrollment Support Manager is responsible for the oversight of the Goshen College Welcome Center- to include student workers, assistance with Admissions and Events, as well as Enrollment Operations.
Essential Functions (Core Job Responsibilities)
Welcome Center (20%)
Responsible for providing the desired first impression of Goshen College for guests and visitors in the Welcome Center. Maintain trained coverage of the front desk and provide excellent hospitality.
Satisfactory performance is achieved when :
- All visitors feel welcomed and valued
- Welcome Center is well-maintained and free of clutter
- Brochure racks are well stocked with the most current print pieces
- Make connections with incoming students (remembering names, sharing information from informal conversations with counselors, printing off additional local hospitality suggestions)
- Manage the sales and deposit preparation of Pop Up Shop and enrollment deposits
- Assigning appropriate coverage when unable to attend to Welcome Center (student worker, counselor, other admissions staff)
Communication (10%)
Responsible for answering the Admissions toll-free number and the campus switchboard
Satisfactory performance is achieved when :
- Maintains broad understanding and knowledge of admission requirements, events, policies, and deadlines to provide excellent customer service
- Maintains broad understanding and knowledge of campus departments, employees, and campus activities to successfully transfer calls that come into the campus switchboard
- Answers the phone promptly, reducing the number of calls that roll to voicemail
- Forwards calls to the appropriate person and takes messages when necessary
- Responsible for confirmation emails / texts to all prospective visitors
- Pick up Admissions mail daily, sort and deliver to appropriate mailboxes / persons
Event Support (25%)
Provides support related to the Admissions Visit and Event Program and the work of the Admissions Visits and Events Manager
Satisfactory performance is achieved when :
- Assist visitors during their time on campus. Check visitors in, introduce schedule, and make changes to schedule or accommodations, as needed
- Visit folders and bags are prepared promptly
- Visit and event schedules are distributed to appropriate on-campus individuals promptly
- Maintain event and visit supply inventory
- Coordinate visitor schedules with appropriate counselors, ambassadors or overnight hosts
- Assist with set-up, check-in, and tear-down on event days
- Occasional evening / weekend work during Admissions events
- Be trained and prepared to give campus tours in the absence of ambassadors
Admissions Office Support (45%)
Responsible for operational support for broader admissions processes
Satisfactory performance is achieved when :
- Responsible for processing official and unofficial transcripts
- Share responsibility for communication flow mailing with the Enrollment Marketing Specialist
- Assist in the maintenance of data in Salesforce. Actively collaborate with Admissions and ITS to ensure the accuracy of prospective student data
- Triage incoming issues and identify potential operational candidates for automation
- Help identify data integrity issues and possible solutions
- Maintain a presentable and welcoming physical space within the Admissions suite
- Assist in communication and distribution of enrollment deposit gifts to incoming students
- Assist with student worker schedules, questions, and day-to-day check-in
Education and Experience
REQUIRED :
- Associate’s degree
- 2-3 years of previous experience as an administrative assistant
PREFERRED :
- Bachelor’s degree
- Two years prior experience in higher education, preferably in the area of enrollment
Skills and Competencies
REQUIRED :
- Warm, positive personality with eagerness to meet and help people. Proven ability to relate and communicate with diverse groups of people
- Accuracy in word processing and data entry
- Effective oral and written communication skills, excellent interpersonal skills
- Excellent telephone skills / etiquette
- Highly skilled in Microsoft Office and Google Suite
- Possess high integrity and ethics in working with all student data. Handle sensitive information in a discreet and professional manner
- Commitment to teamwork and mutual support of others in the office
- Embraces the vision, mission, and core values of Goshen College and the Admissions Office
PREFERRED :
- Experience with database applications helpful, specifically Salesforce
- Knowledge of social media platforms
- Knowledge of local restaurants, activities, and accommodations
- Ability to communicate fluently in Spanish
