The Program Administrator II will report to the Program Manager and work closely with the DF / HCC faculty Associate Director for Cancer Research Training and Education responsible for Pathfinder initiatives.

The Pathfinder office at Dana-Farber / Harvard Cancer Center ( DF / HCC ) aims to strengthen training opportunities for DF / HCC researchers at all career stages by utilizing the exceptional educational resources offered at DF / HCC institutions and launch initiatives that target strategic training challenges.

DF / HCC is an NCI-designated Comprehensive Cancer Center that formally unites as a consortium all the major clinical, population, and basic cancer research efforts of : Dana-Farber Cancer Institute, Harvard Medical School and Harvard School of Public Health, Beth Israel Deaconess Medical Center, the Brigham and Women's, Boston Children's, and Massachusetts General Hospitals.

The Program Administrator II is responsible for the creation and management of key cross-institution programs and initiatives, including : Education program effort and materials designed to connect early-stage cancer researchers to each other as well as to key cancer research education, training, and career development resources.

Database systems - development and ongoing information management of all Pathfinder operational / technical structures.Community building and operational engagement with teams supporting early cancer investigators which span from high school to junior faculty, postdoc offices across DF / HCC institutions, DF / HCC’s Community Outreach & Engagement and Initiative to Eliminate Cancer Disparities offices, U54 Partnership, and others.

Organize monthly Pathfinder educational Career Hub WebinarsProvide programmatic development and meeting coordination for Pathfinder courses and groups : A Grant of One’s Own;

Becoming a Resilient Scientist; DF / HCC Quarterly and Micro-Journal Clubs; Pathfinder Ambassador Council, among others.

Provides operational and complex administrative support in the development and implementation of program functions.Staffs or leads program meetings including preparing agendas, generating minutes, following up on action items and supporting related program initiatives and projects.

May lead or supervise program administrative staff providing guidance and mentorship.May be responsible for maintaining program databases, collecting and analyzing data, and preparing reports to track program progress and outcome.

Serves as a central point of contact between staff, other departments, and / or external constituencies on day-to-day programmatic, operational, and administrative matters.

Represents the program in promotional efforts and in cross-functional collaboration.Plans and executes seminars, meetings, and special projects.

Triage inquiries and provide general problem resolution related to program with appropriate level of urgency.Maintains and manages processes associated with varied programs, projects, and events.

May evaluate program effectiveness to develop improved methods.May assist in the development of new or revision of program goals and objectives.

Produces and manages program-wide communications for program members and relevant stakeholders.May be responsible for promoting the program through various channels such as social media, email newsletters or community outreach efforts.

May develop or update content for websites and social media platforms.Keeps all members of the team up to date with relevant program information.

Supports program leadership in evaluation of current needs, considers future growth and identifies plans for developing appropriate initiatives to support the Department’s infrastructure (i.

e., process improvement, etc.).In collaboration with the management, routinely gathers stakeholder feedback, addresses concerns or feedback, and escalates critical issues.

As part of programmatic work may support and assist institute-wide cross-departmental projects and initiatives.May monitor budget, track expenditures / transactions, and handle financial administration projects as it pertains to the program.

May work on special assignments and projects as needed.SUPERVISORY RESPONSIBILITIES : Yes, may lead or supervise program administrative staff.

High School Diploma required. Master’s / PhD degree preferred.5 years of experience working in a medical or scientific research setting or comparable technology-oriented business environment required;

of which 2 years must be in a program coordination / administration role.KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED : Excellent written and oral communication skills.

Advanced knowledge of computer applications including Microsoft Office Suite, Google Suite, Zoom, Adobe.Knowledge of Quickbase / other databases and data management systems OR a proven ability to quickly learn those skills.

Team-oriented but also independent, self-motivated, and proactive.Ability to work in a highly complex and matrixed environment.

Demonstrated ability and enthusiasm to lead projects with students and / or researchers at all levels required.Enjoys networking and speaking in formal and causal settings.

Organized, with a creative, entrepreneurial mindset.Knowledge of trends, issues, and accepted practices relevant to the position.

Excellent attention to detail skills.Exceptional customer service skills and the ability to interact professionally with peers, leadership, and external contacts.

Must possess the ability to independently solve problems, maintain confidentiality and pay attention to detail.Demonstrated ability to take initiative.

Excellent ability to organize, prioritize and follow-through.Ability to manage projects with direct supervision.Ability to apply independently a wide variety of policies / procedures where specified guidelines may not exist.
